    About Our Practice

    We are a family medicine practice located in Jamaica, Queens, New York, serving a high‑volume and demanding patient population. The practice operates 6 days per week (Monday–Saturday) with varying hours, typically 9 AM–5 PM, and extended hours 9 AM–7 PM on Thursdays. We staff approximately 10–12 team members, including one receptionist and several medical assistants who support front desk operations when needed.

    Position Summary

    The Receptionist serves as the first point of contact for patients, ensuring a friendly, professional, and efficient experience during every interaction. This role is central to maintaining smooth patient flow and supporting a high‑volume clinical environment. The ideal candidate is warm, accommodating, organized, and comfortable multitasking during busy periods. This position directly supports in‑office functions and helps reduce administrative bottlenecks.

    Key Responsibilities

    Greet patients warmly and maintain a positive, professional tone throughout all interactions.

    Managing walk‑ins vs scheduled patients

    Answer incoming phone calls, following established protocols for handling multiple calls, placing callers on hold, or forwarding as needed.

    Schedule appointments and manage provider schedules.

    Verify patient insurance information and determine copay amounts when applicable.

    Perform intake duties for new patients, including collecting identification and required information.

    Assist with medication refill requests and coordinate outgoing letters or documentation.

    Forward calls or inquiries to appropriate staff/departments using the office’s intercom or phone system as needed.

    Collecting copays, outstanding balances, and issuing receipts

    Confirming reason for visit and updating demographics

    Managing check‑out tasks (follow‑up appointments, referrals, instructions)

    Support medical assistants by offloading administrative tasks during high‑volume periods.

    Maintain HIPAA-compliant handling of protected health information.

    Ensure a smooth, organized, patient‑centered workflow every day.

    Use Microsoft 365 Office (Outlook, Teams, Word, Excel) for communication, scheduling, and administrative productivity.

    Scanning and uploading documents, scheduling, updating patient records, processing referrals, and managing workflows within the eClinicalWorks (eCW) Electronic Medical Records system.

    Qualifications

    1–3 years of experience in a medical office or high‑volume customer‑facing administrative role.

    Strong communication and customer service skills.

    Ability to multitask and remain composed during peak hours or heavy call volume.

    Familiarity with insurance verification processes preferred.

    Comfort using a VoIP‑based phone system and digital tools for administrative work.

    Proficiency in Microsoft 365 Office applications.

    Experience with an EMR system, preferably eClinicalWorks (eCW).

    High level of professionalism, reliability, and interpersonal awareness.
