    About Us: Gator Development Corp. is a privately held real estate investment and property management firm specializing in the ownership and management of commercial and residential properties. We are seeking a highly organized and professional Receptionist / Front Desk Coordinator to serve as the first point of contact at our Executive Floor in the Miami Lakes office and to help ensure smooth and efficient front office operations.

    Key Responsibilities:

    • Answer a multi-line phone system promptly and courteously from 8:30 AM – 5:30 PM, including removing and restoring night service as scheduled
    • Prioritize incoming calls from executive leadership (e.g., owners), ensuring messages are handled or forwarded promptly
    • Retrieve, log, and distribute voicemails, emails, and faxes to appropriate team members
    • Provide exceptional customer service to tenants, vendors, and visitors
    • Receive, open, and date-stamp all incoming mail; ensure proper internal distribution
    • Track and manage the receipt of FedEx, certified mail, and courier deliveries
    • Prepare and label outgoing mail, FedEx, and UPS packages accurately and on time
    • Retrieve and print current money and labor rates from the internet and file them in the designated Bank Rate folder
    • Ensure the reception area is clean, organized, and stocked with necessary materials
    • Keep the Pitney Bowes postage machine updated with the correct date and sufficient postage funds
    • Maintain and distribute mortgage and leasing call logs as needed
    • Coordinate front desk coverage during breaks, PTO, or absences
    • Provide administrative support to senior leadership and other departments as requested

    Requirements:

    • Prior experience in a receptionist, administrative assistant, or front office role (real estate industry experience is a plus)
    • Must be fluent in English and Spanish (spoken, written, and read) to effectively communicate with tenants
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    • Familiarity with standard office equipment (fax, copier, postage machine, etc.)
    • Strong written and verbal communication skills
    • Excellent organizational and multitasking abilities
    • Professional, friendly demeanor and strong customer service orientation
    • Ability to work independently and collaboratively in a fast-paced office environment
