  • Responsibilities

    This position is responsible for the coordination of the administrative operations of the child development center. Provide administrative/clerical/classroom support to staff. Greet all visitors in a professional and courteous manner. Learn, implement, and follow all program policies and procedures.

    Members of federally recognized tribes receive preference in hiring.

    Required Experience

    Communicate effectively and professionally, both verbally and in writing, with agency staff, families and outside community members

    · Greet visitors, families and staff in a friendly and professional manner, ensuring that proper sign in procedures are followed by all.

    · Answer phones, act as a referral source to route calls and visitor’s requests efficiently, and checking voice mails throughout the day to assure timely transmission of information

    · Assist with applicant calls, having perspective families enter information on the app on the reception I pad, entering client pre-registration information, and updating the program’s applicant pool/waiting list as needed.

    · Maintain confidentiality.

    · Assist in distribution of job availabilities and other communication as necessary.

    · Prepare outgoing mail, faxes and inter-department correspondence for delivery; distribute incoming mail and packages as necessary.

    · Log, accept, and track all deliveries.

    · Maintain security precautions for agency staff and clients.

    · Ability to multi-task and meet deadlines.

    · Operate a computer and basic word-processing, spreadsheet, and data base software.

    · Maintain accurate and efficient system of record keeping and filing.

    · File paperwork from classrooms and administrative office, including month end paperwork.

    · Coordinate, prioritize, and work on several projects concurrently in a deadline driven environment.

    · Maintain inventory logs of center and office equipment

    · Update and maintain community bulletin boards inside (near front desk) and outside of building.

    · Compile biweekly supply orders for building and submit to Site Manager for approval.

    · Between 10 am and 2 pm, assist in classrooms (break coverages, teacher to attend meetings and/or plan) as well as take a one hour break.

    · Attend meetings, workshops, and training sessions, as required.

    · Attend/assist with center after-hours events as required.

    · Become knowledgeable about all TVCCA programs to assist clients and staff.

    · Demonstrate knowledge of the characteristics, needs, special needs and problems of the Child Development population, with emphasis on culturally diverse and low-income children and their families

    · Strong interpersonal and motivational skills, demonstrate ability to work independently with minimal supervision

    · Willingness and ability to work as a positive contributing member of a team member

    · Demonstrate leadership, positive attitude and develop positive working relationships

    · Be flexible and adaptable to agency and programmatic changes

    · Assist with special projects, as requested.

    · Maintain daily health protocols including cleaning, disinfecting, and sanitization of lobby and reception areas, as well as assisting filling supplies in bathrooms and breakrooms

    · Adhere to dress code; be clean, neat and well groomed.

    · Have the personal qualities to work with staff and advocate for children and families in the community at large.

    · Be sensitive to needs of diverse cultures and low-income families.

    · Have physical ability to sit for up to 8 hours per day, stand, lift, bend, carry 30-50 pounds and move quickly in emergencies. Ability to climb stairs in various locations.
