    Role Overview:
    We are seeking a proactive, polished, and highly organized Receptionist & Office Coordinator to be the face of our NYC headquarters. This role is a crucial part of keeping our office running smoothly and ensuring a professional, welcoming environment. In addition to reception duties, you will provide direct support to the Executive Assistant to the CEO & Office Manager, assist with planning company events, and support the management of daily office operations, food/snack inventory, and facilities needs. This person will play an integral part in managing our office security systems This role reports to the Executive Assistant to the CEO & Office Manager and will collaborate closely with HR and Operations on various office and employee experience projects.

    Responsibilities:

    • Front Desk & Reception:

      • Greet and welcome clients, guests, and staff in a professional and friendly manner.
      • Manage incoming calls, direct them to appropriate staff, and take messages.
      • Maintain a tidy and organized front desk and reception area.
      • Sort, distribute, and send mail or deliveries.
      • Manage office security systems.
      • In person 5 days a week from 8am-5pm.
    • Office Coordination: * Maintain kitchen and office supply inventory, ensuring snacks, beverages, and supplies are well-stocked. * Coordinate daily catered lunches and manage dietary preferences/needs. * Oversee general office cleanliness and liaise with building management and vendors for maintenance or repairs. * Organize and set up conference rooms, AV equipment, and materials for meetings and large events. * Assist with planning and execution of internal events (team offsites, holiday parties, client meetings).

    • Administrative Support:

      • Support the Executive Assistant to the CEO with calendar assistance, meeting preparation, and other administrative tasks.
      • Support other teams with ad hoc administrative needs.
      • Coordinate visitor access and security protocols.
    • Other: * Maintain accurate office procedure documentation. * Help onboard new hires with workspace setup and office tours. * Continuously look for ways to improve office efficiency and employee experience.

    Minimum Qualifications:

    • 2+ years of experience in a receptionist, office coordinator, or administrative support role.
    • Friendly, polished, and professional demeanor.
    • Strong organizational skills with the ability to multitask and prioritize.
    • Excellent verbal and written communication skills.
    • High attention to detail and a problem-solving mindset.
    • Comfortable with office technology (Google Workspace, Zoom, Slack, etc.).
    • Ability to lift/move items up to 25 lbs occasionally (e.g., food orders, supply boxes).
    • A proactive attitude—you take initiative to solve problems before they arise.
    • Flexibility to occasionally support after-hour events or urgent needs.

    Salary Range: $60,000 - $70,000
