Available immediately! Patient Care Coordinator at a women's health clinic We are a small and established acupuncture clinic specializing in women's health. We're looking for an enthusiastic, professional patient care coordinator to join our fantastic team! Role Overview: As our patient care coordinator, you'll be our patients' first and last point of contact, ensuring smooth operations and a positive customer experience. Your duties include managing online bookings, answering calls and emails, processing payments, scheduling appointments, and supporting practitioners. You’ll play a crucial role as our organization's face and first point of contact. Other responsibilities include supporting the clinic's daily needs, answering phone calls and emails, scheduling appointments, managing mail and deliveries, and other assignments to ensure smooth clinic operations. Hours: • Mondays 2:30 pm to 7:00 pm • Tuesdays 8:00 am to 6:30 pm (one-hour lunch break) • Wednesdays 10:00 am to 7:00 pm (one-hour lunch break) • Thursdays 9:30 am to 7:00 pm (one-hour lunch break) • Fridays 8:00 am to 2:30 pm Compensation: Starting at $22 hourly with paid lunch breaks, and opportunity for increase Please send a cover letter with your resume when you apply. Responsibilities: • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Respond to incoming phone calls and emails and make sure the right people receive all important information • Make appointments for employees and ensure the calendar is current and correct • Manage incoming and outgoing mail and handle deliveries • Manage online booking and charting systems • Greet patients warmly, answer calls/emails, and handle payments • Coordinate appointment scheduling and practitioner calendars • Maintain office setup, including prepping and cleaning treatment rooms • Manage phone and email correspondence, data entry, and office supplies • Support practitioners with patient file updates and room preparation • Bill insurance Qualifications: • Exhibits working knowledge of Microsoft Office and basic computer skills • At least one year of receptionist or administrative assistant, experience, or similar preferred • High school diploma, G.E.D. or equivalent • Comfortable taking telephone calls and mitigating stressful situations • Excellent interpersonal skills, organizational skills, customer service skills, and verbal communication skills Personal Qualities: • Warm, personable, team-oriented, and enjoy working with people all day • Positive attitude and professional demeanor • Dependable, detail-oriented, and health-conscious • Keen interest in women’s health Professional Skills: • Excellent multitasking and organizational abilities • Strong communication skills and tech-savvy Compensation: $22 hourly to start
