Job Summary
We are looking for a friendly, welcoming Receptionist and Project Scheduler to join our team!
Position Summary The Receptionist / RFQ Coordinator serves as the first point of contact for customers, vendors, contractors,and visitors while supporting sales and project teams in a fast-paced electrical and data center supplier environment. This position is responsible for coordinating request-for-quote activities, maintaining customer and vendor communications, and ensuring accurate and timely processing of quotations forelectrical equipment, materials, and project-related services.
Key Responsibilities Reception & Administrative Duties Answer and direct incoming phone calls professionally and courteously. Welcome customers, vendors, contractors, and visitors. Manage incoming and outgoing mail, emails, and office correspondence. Maintain office files, records, and project documentation. Schedule meetings and coordinate office activities. Provide administrative support to management, sales, and project teams.
RFQ & Quotation Coordination Receive, review, and process customer requests for quotes. Coordinate with manufacturers, distributors, and vendors to obtain pricing, lead times, and product availability. Schedule and assist in distributing quotations for electrical equipment, power distribution products, data center infrastructure, and related services. Follow up on outstanding quotations and customer inquiries. Maintain accurate records of quotes, pricing, and customer communications. Assist with bid packages, project documentation, and proposal preparation. Coordinate with sales, purchasing, project management, and manufacturers to ensure timely responses and order fulfillment. Monitor quote status and provide updates to customers and internal teams.
Qualifications High school diploma or equivalent; additional administrative or business education preferred. Previous receptionist, administrative, customer service, inside sales, or quotation experience preferred. Experience in the electrical, construction, industrial, or data center industry is a plus. Proficiency in Microsoft Office (Outlook, Word, Excel). Experience with ERP, CRM, or order management systems preferred. Strong organizational, communication, and multitasking skills. Ability to prioritize work and meet deadlines in a fast-paced environment.
