    Position: Receptionist

    Contract: ASAP Start (Once Onboarding Clears) until 4/6/2026

    Location: Santa Ana, CA

    Schedule: Monday - Friday, 8 AM - 5 PM

    Pay: $20.00/HR, Paid Weekly

     

    Possible temp to perm for the right candidate.


    Position Summary:

    • Serve as the first point of contact for all visitors, greeting and directing guests in a professional and welcoming manner.
    • Operate a multi-line phone system to answer incoming calls and route them to the appropriate personnel or department.
    • Manage incoming calls by identifying the caller’s needs, providing accurate information, and transferring calls to the correct individual, department, or business unit.
    • Transfer calls to voicemail when necessary and ensure messages are relayed promptly.
    • Provide general information about the organization, including address, directions, and department contacts.
    • Support onsite visitors by determining the purpose of their visit and notifying the appropriate team members of their arrival.
    • Monitor visitor access, issue visitor badges, maintain sign-in logs, and oversee building entry protocols.
    • May assist with updating appointment calendars and accepting deliveries as needed.
    • Receive, sort, and distribute incoming mail and packages for employees and customers.
    • May prepare memos, correspondence, reports, and other documents as requested.
    • Assist with ordering, receiving, and maintaining office supplies.
    • Perform general administrative tasks, including filing, photocopying, scanning, and document organization.
    • Support special projects for various departments as required.
    • Work independently on routine tasks and standard issues while following established procedures.
    • Occasionally engage in problem-solving to address non-standard situations.

     

    Physical Requirements:

    • This role requires regular sitting, talking, and listening.
    • Occasional walking, bending, stooping, kneeling, or crouching may be required.
    • Must be able to lift or move up to 10 pounds occasionally.
    • Vision requirements include close vision and the ability to adjust focus.

     

    Skills & Competencies:

    • Proficiency in Microsoft Office Suite.
    • Ability to read and interpret safety rules, operating instructions, and procedure manuals.
    • Strong note-taking, writing, and documentation skills.
    • Comfortable performing basic calculations such as percentages.
    • Strong problem-solving skills with the ability to work through practical challenges and interpret instructions delivered in written, verbal, diagram, or schedule form.
    • Excellent customer service skills—able to manage sensitive or emotional situations, respond promptly to requests, and gather feedback to improve service.
    • Effective communication skills, including clear speaking, active listening, and the ability to respond confidently to questions.
    • Strong writing skills with attention to grammar, clarity, and accuracy.
    • Works well both independently and within a team environment.
    • Demonstrates openness to feedback, supports team goals, and contributes to a positive team culture.
    • Professional demeanor with the ability to react calmly under pressure, treat others with respect, and follow through on commitments.

    Requirements:

    • 1–2 years of Receptionist or front desk experience.
    • Escrow/Title experience a plus, but not required.
    • High School Diploma or equivalent.

    Working Conditions:

    • May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
    • The ability to lift up to 30lbs.
    • Use of computers and technology.
