  • Responsibilities

    The Nelrod Company is looking for motivated, self-starting candidates for the position of Receptionist. The Receptionist serves as the initial point of contact for the Company to answer phones, welcome visitors/clients, receive packages from vendors, processes incoming/outgoing mail, and maintains inventory and supplies.

    Responsibilities:

    • Answers multi-line telephone in a courteous manner, takes messages, transfers calls or routes calls to appropriate departments.
    • Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
    • Prepares incoming and outgoing mail and ensures professional appearance.
    • Interacts with vendors accepting and processing packages and mail.
    • Orders and maintains office supplies in a timely manner and maintains inventory.
    • Takes registrations for seminars, prepares and sends confirmation of registration and helps prepare presentation packets.
    • Makes copies, assembles documents, prepares shipping and mailing materials.
    • Assists with mass mailings and in-house production.
    • Maintains a well-stocked, safe, clean, and organized reception area (i.e., cleaning glass doors, floors, blinds, furniture etc.).
    • Ensures copy room and supply closet is maintained with adequate supplies and maintained in a clean and organized manner daily.
    • Responsible for ensuring all copy room equipment is in operable condition and coordinates equipment repairs and maintenance activities and supplies are stocked.
    • Provides support to all departments as required.

    Required Knowledge & Skills:

    • Excellent knowledge of computer software such as Microsoft Word, Excel, PowerPoint, Monday and general office machines.
    • Ability to communicate with others and convey information effectively.
    • Ability to communicate information and ideas in speaking so others will understand.
    • Ability to speak clearly so others can understand what is being said.
    • Good knowledge of general office procedures and practices, business English and arithmetic.
    • Ability to communicate clearly and concisely orally and in writing.
    • Ability to establish and maintain effective and courteous relationships with other employees and other business contacts.
    • Basic bookkeeping, ability to use 10 key calculator and computer data input.
    • Ability to identify what needs to be done and takes action before being asked or the situation requires it.
    • Ability to accurately and completely document in writing appropriate events and activities.
    • Ability to deal effectively with sensitive and confidential information.
