    Our clinic is seeking a motivated, reliable and professional Front Office Coordinator to provide exceptional patient support, manage high call/text volume, and assist the business owner/medical staff with daily operations.     Key Responsibilities

    Patient Interaction & Front of House Management

    Greet and check in/out patients in a warm, professional manner, always maintaining a friendly smile.

    Handle high patient volume while ensuring efficient and seamless front desk operations.

    Answer and return phone calls promptly, managing a high call volume with professionalism.

    Schedule, confirm, and adjust patient appointments.

    Follow up with patients regarding additional services and provide education on offerings. Have a sales minded attitude to help patients learn more about services we offer that could benefit them based on their current & personal needs.

    Maintain a clean, welcoming, and organized lobby/reception area.

    Administrative & Payment Processing

    Process payments, ensure timely collections, and resolve declined transactions.

    Manage patient billing inquiries with courtesy and efficiency.

    Track payments and maintain accurate financial records.

    Order & Inventory Management

    Maintain Excel / google spreadsheets to track inventory and prescription orders.

    Monitor and update ordering schedules to ensure stock availability.

    Communicate with vendors and track shipments/orders.

    Support for Providers & Business Owner

    Assist medical providers and business owner with daily operational tasks.

    Organize administrative workflows to support smooth clinic operations.

    Handle patient inquiries, resolve concerns, and apply conflict resolution skills when needed.

    Qualifications

    Previous experience in a front desk, administrative, or customer service role (healthcare/medical office preferred).

    Ability to handle high call and patient flow volume with composure and efficiency.

    Strong multitasking, organizational, and problem-solving skills.

    Proficiency in Microsoft Excel / google sheets scheduling systems, and general office software. THIS IS REQUIRED AND YOU WILL BE ASKED TO DEMONSTRATE CAPABILITY.

    Excellent communication skills, both verbal and written.

    Ability to handle sensitive information with confidentiality and professionalism.

    Positive, proactive attitude with strong customer service skills and conflict resolution abilities.

    Preferred Skills

    Experience working in a medical, med spa, or wellness environment.

    Knowledge of payment processing systems and patient management software.

    Ability to educate patients on services in a clear, approachable way.
