    The Role

    We're not looking for average. We're building a team of sharp, collaborative, fast-moving, detail-obsessed professionals who take pride in efficiency and execution. As a Record Collection Specialist at Citizen Health, you will play a critical role in our mission to serve patients by obtaining and organizing medical records from healthcare providers across the country. That means you need to be lightning-fast on a computer across multiple systems, relentless in follow-up, and meticulous in documentation. If you get flustered easily, move slowly, or struggle with basic tech — this is not the role for you.     This is a remote contractor role with flexible hours, but hours need to be structured during normal business hours. We expect people to treat this like the real-deal job it is. You'll be trusted to manage cases, invoice payments, and external communication to providers with urgency and clarity, without hand-holding.

    Responsibilities

    • Submit clear, accurate patient record requests to healthcare providers' Release of Information departments using our internal request system

    • Follow up persistently via phone, email, and fax to ensure timely record delivery — you are expected to follow up more than once and problem-solve when things stall

    • Upload, label, and organize received medical records to the correct patient profiles in Salesforce with extreme attention to detail

    • Maintain accurate documentation of all provider interactions and collection activity in Salesforce — if it's not logged, it didn't happen

    • Meet or exceed performance metrics for collection volume and turnaround times — we move quickly, and we expect our team to do the same

    • Build professional, effective relationships with provider offices to facilitate smoother record access — charm and clarity go a long way

    • Proactively identify and resolve issues (wrong fax numbers, unresponsive offices, missing authorizations) — don't wait to be told what to fix

    • Use your judgment and stay aligned with HIPAA and internal data privacy protocols at all times

    • Use a reliable, fast computer and stable high-speed internet — if your system slows you down, so does our team

    • Work independently with integrity — this is a remote role, but we can see your activity. We don't micromanage, but we do track output. Clocking in without producing results is not an option.

    Who You Are

    • Must be 18+ years of age

    • Strong organizational skills with the ability to manage multiple requests and shifting priorities

    • Clear, professional communication skills — both written and verbal — for interacting with providers and internal teams

    • Demonstrated phone etiquette and persistence when following up with healthcare facilities

    • High attention to detail and consistent documentation habits

    • Self-motivated and able to work independently without direct supervision

    • Experience in medical records, healthcare admin, or customer service is a plus

    • Familiarity with HIPAA, record retrieval processes, or EMR systems is preferred but not required

    • Proficiency with Salesforce or similar CRM systems is highly valued

    • Reliable, up-to-date personal computer and high-speed internet required

    • Preference given to candidates who can work 30+ hours/week

    • Ideal candidates are fast learners, tech-comfortable, and able to keep pace in a dynamic environment
