    Job Description

    Reporting to the Executive Director, the Administrative/Finance Associate is responsible for transactional fiscal duties for Recovery Café San Jose (501(c)3). The Finance Associate will work closely with the Finance Director and is responsible for day-to-day bookkeeping transactions including Accounts Payable, Accounts Receivable, Cash Receipts and Payroll along with special projects. The Finance Associate is responsible for applying and maintaining accounting principles, practices, and procedures to ensure accurate and timely financial data.

    Fiscal Operations

    · Creates deposits, and processes cash receipts in accounting system in partnership with Development staff

    · Reviews documentation for completeness and coding submitted for credit card transactions

    · Processes accounts payable, monitors billing, and generates checks when needed

    · Enters credit card and reconciliations into accounting system

    · Process bi-weekly payroll and prepare payroll journal entries

    · Processes 1099 forms

    · Supports revenue and expense reconciliations

    · Supports accurate and timely monthly, quarterly, and year-end close processes

    · Assists in preparation of year-end closing and annual fiscal review

    · Maintain files for bookkeeping functions and all operations of the Finance department.

    · Assist in preparing reports as requested

    · Other fiscal duties/projects as assigned by Finance department

    Qualifications

    · Associate degree in Accounting, Finance or related field or equivalent experience preferred; High school Diploma will be considered

    · Minimum of 2 years of experience in non-profit audit or accounting

    · Knowledge of generally accepted accounting practices and principles

    · Knowledge of auditing practices and principles.

    · Proficient in Microsoft Office systems

    · Experience with QuickBooks

    · Detail-oriented

    · Strong administrative and organizational skills

    · Ability to work independently and in a team setting

     

    This position reports to: Executive Director

    This position is part-time, 10 hours per week beginning at $25/hr.

    Responsibilities include, but are not limited to:  

    The position requires the applicant to communicate in a businesslike manner. Effective written and verbal communications skills are a must.

    Candidates with general working knowledge of QuickBooks, Adobe Acrobat, Excel, Email, and Internet are preferred; however, we are willing to train the right person. Ideally, we would like someone to work 10 hours weekly between the hours of 10 am and 4pm. However, there is room for flexibility. Please note, this is NOT a remote working arrangement, in-office work is required.
