Job Title: Recruiting Coordinator

About the Role:We are seeking a detail-oriented and proactive Recruiting Coordinator to join our Talent Acquisition team. This role is integral to the recruitment lifecycle, providing administrative support, facilitating communication between candidates and hiring teams, and contributing to our employer branding through job postings and social media content. You'll play a key role in ensuring a seamless candidate experience while also supporting strategic initiatives like job fairs and recruitment marketing campaigns.
Key Responsibilities:
- Draft, issue, and track Conditional Offer Letters (COLs) and other candidate documentation.
- Coordinate interview scheduling and candidate communications with hiring managers and recruiters.
- Post open requisitions on job boards, career sites, and manage social media recruitment content.
- Maintain and update applicant tracking system (ATS) records, ensuring data accuracy.
- Run regular and ad hoc recruitment reports to support hiring metrics and KPIs.
- Proactively source candidates through resume databases, social media platforms (e.g., LinkedIn), and other sourcing tools to build talent pipelines and support hard-to-fill requisitions.
- Collaborate with marketing and HR teams to create engaging content for recruitment campaigns.
- Assist in planning and organizing job fairs, hiring events, and university outreach programs.
- Ensure compliance with company policies and employment laws throughout the recruitment process.
- Serve as a point of contact for candidates, delivering a positive and informative candidate experience.
- Continuously identify process improvements to enhance operational efficiency within the recruitment function.
- Drive operational excellence by supporting ATS hygiene (Ashby preferred), ensuring interview details are up to date, accurate, and communicated clearly.
- Support recruiters with logistics, interviewer prep, reminders, and thoughtful communications to ensure readiness across the board.
- Identify process improvements across coordination workflows and candidate experience, then lead the way in implementing them
- Collect and file important paperwork from candidates throughout the recruitment process
- Support and oversee the activities of part-time sourcers, ensuring alignment with recruitment goals and providing guidance as needed.
- Develop expertise in the ATS, take ownership of its optimization, and proactively champion process enhancements to streamline recruiting workflows and improve operational efficiency.
Qualifications:
- 1-3 years of experience in a Recruiting Coordinator, HR Assistant, or related administrative role.
- Must be able to work independently or as part of a team
- Familiarity with Applicant Tracking Systems (ATS) and HRIS platforms and willing to become an ATS Guru.
- Experience with job postings, social media content scheduling, and basic recruitment marketing.
- Hands-on experience with candidate sourcing via LinkedIn Recruiter, job boards, or resume databases.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and reporting tools.
- Strong analytical and problem-solving skills with a focus on workflow efficiency and systems enhancement.
Preferred:
- Knowledge of recruitment compliance practices.
- Experience using design tools (e.g., Canva) for creating recruitment content.
- Background in supporting high-volume recruiting environments.
- A process-minded problem solver who takes initiative to fix what’s broken and constantly looks for ways to improve.
- Bonus: Experience supporting recruiting data/reporting efforts and working on automation or tooling enhancements.
