  • Responsibilities

    Growing S&P national commercial real estate firm is hiring for a Junior Property Manager for their San Francisco office.  The Senior Asset Services Coordinator will work independently in support of routine accounting requirements, as well as support the Asset Team in all other areas of portfolio management.

    Essential Duties and Responsibilities:

    Administration

    • Point of contact when reasonable for tenant questions, and concerns. Initiate and suggest action item(s)
    • Help create a systematic filing system to improve existing file organization
    • Help track tenant insurance certificates and tenant vendor contracts
    • Input and maintain tenant work order systems (FM Power)
    • Work with engineering on vendor visits; prepare, send, and follow through with tenant notification memos / letters and e-mails
    • Assist Asset Services Team with special projects
    • Keep and maintain various ARE systems needing data entry such as utility info for benchmarking, etc.
    • Assist in planning all tenant events, parties, gifts, etc.
    • Assist in annual budget preparation
      • Gather and verify annual increase data related to vendor contracts and utilities
      • Thorough understanding of tenant recovery percentages and verification within the budget module
      • Input operating expense detail in budget worksheet as needed
      • Prepare annual budget statement correspondence for tenants
      • Independently research and respond to tenant inquiries (i.e.large increases in certain expense categories compared to prior year)
    • Participate in annual CAM reconciliation process
      • Perform a detailed review of the tenant recovery percentages and verification within the CAM worksheet module (i.e. if a percentage appears to be incorrect research further)
      • Prepare annual CAM reconciliation statement correspondence for tenants
      • Independently research and respond to tenant inquiries, for example large or overall increases in certain expense categories compared to prior year
    • Track tenant receivables, follow up on outstanding balances and prepare delinquency reports
    • Prepare and meet deadline for monthly posting report for Asset Director’s approval
    • Independently assist Asset Services Team with special projects (i.e. tenant improvements; small building improvements projects which include, but not limited to, signage updates, furniture installation and upgrade common area amenities)

    Contract Administration

    • Participate in bid process when searching for new vendors
    • Prepare service contracts and track vendor insurance certificates
    • Track contracts with pending signatures
    • Exercise “Clause 35” and Termination notifications with Asset Director’s approval
    • Maintain spreadsheets to track all current contracts in region
    • Ensure any upcoming contract renewals are processed in a timely manner

    Accounts Payable

    • Code invoices and obtain Manager’s approval
    • Research invoices in property management account software when necessary
    • Prepare any utility cost/consumption reports when necessary

    Vendor Management

    • Independently direct all janitorial, security and landscaping staff
    • Initiate and coordinate property walks and regular vendor meetings for our team

    Qualifications and Experience:

    • Bachelor's degree in Business, Accounting, or Finance
    • 3+ years’ experience in property management and/or commercial real estate
    • Experience in the Life Science space, a plus
    • Strong accounting background and familiarity with lease provisions and lease administration
    • Proficient in MS Office (Word, Excel, PowerPoint, Teams)
    • Experience with JDE or other property management accounting software, a plus
    • Exceptional communication and interpersonal skills
    • Strong customer service skills
