    JOB DESCRIPTION:

    We are looking for an Administrative Clerk to join our company and act as a point of contact for our employees and as well as help with our recruiting new team member.   

    Administrative Coordinator responsibilities include supporting regular office operations, screening phone calls, and posting job openings. To be successful in this role, you should have excellent organization skills along with the ability to prioritize tasks and meet deadlines.

    Ultimately, you will provide administrative support to our staff and ensure all daily procedures run smoothly.

    JOB DUTIES AND RESPONSIBILITIES:

    • Meet with managers to discuss department needs

    • Build and attract applicants by placing job advertisements; contact recruiters using newsgroups and job sites

    • Determine applicant qualifications by interviewing applicants; analyze responses, verify references, and compare qualifications to job requirements

    • Arrange management interviews by coordinating schedules

    • Maintain updated systems for filing, inventory, mailing, and databases

    • Handle incoming and outgoing office correspondence

    • Compile and maintain records of office activities and business transactions

    • Obtain information to respond to requests by reviewing files, documents, and records

    • Perform basic bookkeeping and banking transactions, including the collection, counting, and disbursement of money

    • Prepare and mail bills, invoices, checks, and contracts.

    • Make travel arrangements for personnel

    • Plan out of town travel arrangements for executives

    • Notify and remind all parties of upcoming events, lunches, meetings etc.

    • Maintain staff and company calendars

    JOB REQUIREMENTS AND QUALIFICATIONS:

    • Proficient in the use of computers, including accounting software, database software, document management software, and Microsoft Office

    • Prior secretarial experience preferred, but not required

    • Strong communication skills; ability to interact productively with supervisors, peers, and subordinates

    • Superb organizational skills

    • Excellent time management

    • High school diploma or equivalent required
