    JOB SUMMARY: 

    The Executive Administrator will oversee the general administrative function and activities of the company and work a combination of remote and in person hours with flexibility in scheduling based on operational needs. Performs various duties and diverse tasks requiring knowledge of office systems and efficient administrative procedures and processes. Clerical duties may be assigned in accordance with the office procedures of the company based on dynamic growth needs.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
    • Computes, records, and proofreads data and other information, such as records or reports.
    • Completes work schedules and agendas, manage calendars, and arrange appointments.
    • Make travel arrangements for office personnel.
    • Event planning and logistics support as needed.
    • Communicates with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
    • Complete and mail bills, contracts, policies, invoices, or checks
    • Reviews files, records, and other documents to obtain information to respond to requests
    • Maintains inventory of office supplies; orders new supplies as needed.
    • Maintains office files; implements an efficient system for other staff to access files and records.
    • Performs other related duties as assigned.
    • Coordinates the onboarding processes and logistics to ensure a positive and smooth employee experience for new hires and existing team members
    • Interacts and coordinates equipment needs with IT company and/or team members as needed.
    • Learns quickly to understand and apply existing and new technologies
    • Other duties as assigned

     SUPERVISORY JOB DUTIES:

    • Oversees the daily work activities of the office.
    • May oversee additional clerical staff as the company grows and with proven performance

     QUALIFICATIONS: 

    • To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.

    EDUCATION: 

    • Associate degree required; bachelor’s degree in office administration or related field or equivalent experience highly preferred

    EXPERIENCE:

    • At least three to five years of administrative and clerical experience required
    • Extensive knowledge and at least 3 years of office management procedures
    • Previous experience working with startup companies highly preferred
    • Previous experience working with C-level Executives required
    • Prior law enforcement or intelligence administration preferred
    • Demonstrated knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources required

    TECHNICAL SKILLS:

    • Ability to type at least 60 words per minute
    • Excellent organizational skills and attention to detail
    • Excellent time management skills with a proven ability to meet deadlines
    • Proficient with Microsoft Office Suite or related software
    • Prior HR software utilization experience highly preferred
    • Prior experience implementing software and electronic data interchange (EDI) systems integration preferred

    • Ability to self-direct, creatively problem solve, and work and learn in a fast-paced environment
    • Advanced abilities to manage and multi-task multiple competing tasks and demands and complete tasks to deadlines

     PHYSICAL REQUIREMENTS:

    • Ability to sit or stand at a desk for 8 or more hours a day
    • Ability to work on a computer for 8 or more hours a day
    • Ability to work long and unpredictable hours
    • Must be able to lift up to 15 pounds independently at times
