    Job Description

     

    We are looking for Receptionists for our Glendale office

    The Receptionist is responsible for receiving all incoming calls, including the scheduling of patient appointments. Taking complete phone messages per office guidelines and responding to caller requests. Routing all messages to appropriate department/staff member for prompt handling.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

    • Maintain neat, legible and organized written records.
    • Maintain a neat, clean and organized work area and keep work supplies stocked.
    • Assist patients without bias or prejudice.
    • Answer all incoming phone calls and respond to caller requests per office guidelines.
    • Respond to all phone requests in a timely manner and make sure that issues are completed (even if forwarded to another Associate).
    • Schedule patient appointments as requested by patient(s) per office guidelines.
    • Obtain necessary information from new patients and enter into system per office policy.
    • Completely document all phone messages per office guidelines and assure distribution of all emergency phone messages in a timely manner.
    • Return calls (as necessary) once requested information is obtained.
    • Maintain a high level of confidentiality per office guidelines and HIPAA regulations.
    • Adhere to the Receptionist’s scope of practice at all times.
    • Maintain a high level of professionalism at all times and promote the importance of customer service.
    • Be willing to learn new procedures or accept new assignments within reasonable time frames, to be agreed upon between the employee and the office manager. To maintain office operations, all employees will be cross-trained into acclamatory positions to assist in emergency or heavy workload situations.
    • Recognize and resolve problems, troubleshoot malfunctions in equipment or treatment procedures and use alternate methods if available.
    • Coordinate efforts to work effectively with others in a way that is productive.
    • Organize work during heavy workload situations and ensure that all work is accomplished.
    • Demonstrate good judgment in handling situations not covered by written or verbal instructions.
    • Maintain a cooperative relationship with patients, staff and all other individuals.
    • Demonstrate effective communication skills by conveying necessary information
    • Arrive at work on time, begin work promptly and be available until the end of their assigned shift.
    • Comply with office confidentiality, safety, infection control and exposure control policies.
    • Dress in a neat, clean and appropriate manner per the office dress code.
    • Display a professional attitude through performance, appearance and demeanor.
    • Act as back-up support as needed within the department or elsewhere as determined by supervisor.
    • All other duties as directed by management.

    EDUCATION AND/OR EXPERIENCE

    High school diploma or general education degree (GED); and one to three months related experience and/or training; or equivalent combination of education and experience.
