    Job Description

    Regal Medical Group is looking to hire an experienced Project Manager with HR experience to join our team!

    POSITION SUMMARY:

    This position will support the Employee Services Director as well as the Employee Services Management team. Provides coordination of administrative functions for the Executive and assists in meeting the needs of all customers and fulfilling the mission of Heritage Provider Network, Regal Medical Group/Lakeside Community Health. The incumbent is responsible for the coordination of all meetings, calendars and travel. Creates forms, documents, presentations as requested. Is responsible for meeting agendas/minutes as assigned. Prepares expense reports and performs follow up as needed. Incumbent will assist with data entry and performs other duties as assigned Provides support for training and development sessions as needed. Maintains all policies and procedures for the organization in an orderly and uniform fashion. Maintains confidential files. Works. This position provides general assistance and supports the Director’s direct reports, interfaces Executive team, Medical Directors, Management and all employees and will assist with special projects and with employee events.

    ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

    • Maintain and coordinate calendars/meetings for Director and management team.
    • Manage incoming phone calls and visitors
    • Manage logistics including travel planning, arranging meetings, project organization, expense reports
    • Coordinates with other assistants for back up and support of other executives
    • Clerical work – streamline/process paperwork, create forms/letters/documents, minimal filing
    • Maintenance of ongoing projects including watching timelines, verifying completion of assigned tasks by responsible parties, facilitating communication between team members
    • Develop and maintain working relationships with key personnel and business associates
    • Coordinate interactions with other departments/programs and affiliated companies
    • Manage requests from customers, team-members, and staff. Develop action plans to address issues.
    • Distribution of key metrics/news/information
    • Maintain policies/procedures/guidelines. Facilitate access/distribution.
    • Creates forms and documentation, including Memos, notices and drafts of policies and procedures requested.
    • Attends meetings and provides support staff as appropriate or directed by executive. Special Projects as assigned
    • All other duties as directed by management

    EDUCATION /EXPERIENCE:

    • Minimum 2 years of experience as a Project Manager, preferably in a healthcare setting (HR background is a strong plus)
    • Excellent MS Office (Word, PowerPoint, Outlook and Excel)
    • Must have excellent written and oral communication skills
    • Must have the ability to maintain confidentiality
    • Excellent organizational and follow through skills
    • Maintains professional attitude and demeanor
    • Has the ability to work both independently and within teams/groups
    • Excellent customer service skills
    • Has the ability to work within all levels of the organization.
