Rehab Tech / Front Desk Associate – Rehab Specialists

We are looking for a dual-role Rehab Tech / Front Desk Associate who reflects those values — someone friendly, adaptable, proactive, and energized by supporting both our administrative front line and our clinical team.

Schedule: ~20 hours/week (with potential for more hours), 7 am - 11 am (Mon-Fri, no weekends required)
Pay Range: $15.00 – $18.00 per hour (commensurate with experience).
What You’ll Do
Warm Patient Onboarding: Welcome every patient with warmth, guide them to treatment areas, and help start their sessions for therapists (e.g., getting them set up on equipment or prep areas).
Direct Therapist Assistance: Assist therapists with patient care support, exercise guidance under supervision, and helping patients who require additional physical support.
Flow Management: Communicate schedule updates to patients and therapists to ensure sessions stay on time and run smoothly.
Sanitation: Thoroughly clean, sanitize, and disinfect equipment, exercise tools, and treatment tables between patient sessions.
Clinic Upkeep: Maintain a clean, inviting reception and clinical area, manage clinic laundry routines, and ensure restroom cleanliness throughout the day.
Supply Management: Monitor inventory for clinical and office supplies; assist with ordering and restocking.
Scheduling: Efficiently schedule appointments to optimize provider calendars and treatment room flow.
Patient Communication: Answer incoming phone calls, address inquiries, and guide patients through their visits with clear, calm communication.
Transactions: Record and collect patient payments and co-pays as needed.
Team Connectivity: Monitor and respond to internal company communications promptly.
Protect patient privacy and HIPAA confidentiality at all times.
Maintain a professional appearance and wear the required uniform and ID badge.
Contribute to a positive, collaborative, and uplifting team environment every day.
What You Bring
High school diploma or equivalent required; Associate degree or coursework in Healthcare/Kinesiology/Pre-PT is a plus.
Prior experience in customer service, medical front desk, or physical therapy aide/tech roles preferred.
Strong computer skills and ability to multitask in a fast-paced environment.
Excellent interpersonal, verbal, and phone communication skills.
High attention to detail, strong time-management, and organizational skills.
Ability to stand/walk frequently and lift up to 50 lbs occasionally.

Rehab Specialists opened in 2013 right here in Portage, Michigan. Owners John and Andy dedicated their careers to helping people return to their lives naturally — without relying on pain medications, surgery, or injections.
As a private, PT-owned clinic, we specialize in high-quality, one-on-one Physical, Occupational, and Speech Therapy. We believe in a hands-on approach combined with deep patient education, with our therapists undergoing extensive training in Orthopedic Manual Therapy and the McKenzie Method.
