Summary: Performs front desk operations in all facets
Duties and Responsibilities include the following. Other duties may be assigned.
Exhibit stellar customer service and professionalism to both internal/external clients
Schedule appointments with enthusiasm and for clinic flow efficiency
Patient Education and Intake Specialist dedicated to assisting prospective patients towards understanding Katalyst’s unique difference and offerings
Patient follow up for optimal “White Glove Patient Service” and outcome reporting communication
Operate multi line phone system – direct calls, take messages, and relay appropriately and timely – meet or exceed departmental goals
Precisely verify appropriate client insurance and update demographics consistently
Read and respond to email messages professionally and timely
Check in patients, clients, and consults. Confirm client accounts and information is accurate and current, greeting each one with a professional/personal shine factor
Operate existing software by inputting company dashboard data and coordinate customer relation email management system
Coordinate the provider schedule amongst the appropriate surgery centers
Ensure cleanliness and tidiness for front lobby area and fitness gym area as needed, walking the area regularly to ensure comfort for clients, consistently
Collect co pays and payments consistently upon each check-in
Perform Workers Compensation & BCBS precertification process while exhibiting calm, confident, friendly and efficient communication
Forward Office Visit notes
Create half office charts
Print medical records
Inventory front office supplies
Conform to complaint resolution process
Prepare Weekly Team Meeting Agenda and meeting minutes to facilitate a strong team culture of teamwork, focus, problem-solving, accountability.and implementation

Email Supervisor with name/contact info/details
Supervisor to contact client and remedy/cc: HR
Schedule client appointments, calls, and follow ups consistently and professionally
Scan documents, inquire/confirm insurance coverage timely

Injection Chart preparation
Room Patients and Start Chart as needed based on staffing an volume demands
Other duties and special projects as assigned

Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Office suite.
Education/Experience:
High school diploma or general education degree (GED); and two to four years related experience and/or training and college education; or equivalent combination of education and experience.
Preferred Training/Experience: Graduate of Health Information Technology, Administrative experience, retail or sales experience with superior customer service and communication skills.
Certificates and Licenses:
Current CPR and AED certificate – not currently enforced
