  • Responsibilities

    • Support the execution of the Client Relationship strategy by scheduling Theme Team meetings, recording meeting minutes, and taking action items. • Generate Sales/ Estimating analytics and reports so that the Business Development Department has accurate and timely information to track progress and support decision making. • Manage the Qualification Package Process and organize Qualification data library. • Provide general administrative support to the Business Development Department. • Coordinate with the Accounting Department and the Corporate Office to arrange travel and process expense reports for Business Development staff. • Support Point Eight Power’s growth goals by performing order entry functions, entering and assigning quote numbers for incoming RFQ's, and maintaining estimating data documents in the CRM for access by Estimators, Program Managers and Account Managers. • Effectively communicate with the Program Managers, Estimators, Account Managers, Accounting & Corporate Credit Departments to enable order entry and change order processes by recording data accurately and consistently within the CRM, AS400 and job database. • Organize and maintain all estimating proposal and work order folders for both active and archived projects to ensure that backlog work is positioned for others to begin work on. • Enable effective workflows and support optimal operational costs by ensuring that all departmental supplies are well-organized and maintained at healthy inventory levels. • Ensure a positive client experience by setting up conference/meeting rooms with appropriate equipment, materials and food and beverage when clients make onsite visits to Point Eight Power. • Facilitate healthy cash flows by efficiently and accurately distributing work orders to the appropriate departments and notifying the corporate credit department of completed order entries. • Enable access to timely and accurate data that is needed for strategic and informed decision-making by updating data that feeds Sales and Estimating Dashboards. • Continually increase quality and effectiveness by implementing approved process improvement initiatives including process mapping and entries/updates to the CRM, AS400, the job database, and material pricing. • Support the company mission of being “best in class” by accurately modeling and representing the PEP brand, mission, vision, values. • Provide secondary support of Trade Shows or client events, as requested.

    · Verbal & Written Communication Skills - This position requires intermediate skills (Ability to read, analyze, and interpret general business documents and excel spreadsheets. Ability to create/update excel spreadsheets and graph. Ability to effectively present information and respond to questions from groups of managers, clients, and the general public). Excellent cross-functional team skills. Able to manage multiple priorities and deadlines to drive results.

    · Math Skills - This position requires intermediate skills (calculate figures/discounts, proportions, area, basic descriptive statistics, etc.)

    · Computers and Electronics — Knowledge of computer hardware and software, including applications and programming such as Microsoft Office Business Suite, Excel, CRM software, and Adobe Acrobat software, knowledge of accounting software.

    · Accuracy - This position requires attention to details and ability to check your own work for accuracy.

    Required Experience

    · One to three years of office administration, accounting or clerical experience, required.

    · Two years of experience working with Client Relationship Management (CRM) software, such as IFS, preferred.
