    Under direction of the Corporate Office Manager, the Administrative Assistance performs a variety of office-oriented tasks to ensure effective administrative operations, office operations and staff support with a focus on customer service and general office skills.  The Administrative Assistant is responsible for ensuring smooth operations within the organization while adhering to the organization’s values and principles.  The Administrative Assistant ensures the maintenance of a working environment that yields productivity and furnishes essential office supplies.  This role performs a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.  The Administrative Assistant should conduct close observation and make all the essential recommendations to management regarding more effective and more organized handling of specific operations within the company.

    DUTIES AND RESPONSIBILITIES

    • Main lobby receptionist, answer, screen and transfer inbound phone calls for 100 line system
    • Receive and direct visitors and clients
    • Schedule conference rooms, daily meeting luncheons and refreshments
    • Coordinates with caterer and coffee vendors while maintaining a professional vendor relationship
    • Assist with meeting and event planning including coordination of travel, meals, accommodations and material requirements Organize office functions as requested
    • Provide administrative support to the Office Manager by maintaining the organization and filing of project spreadsheets and supporting documentation
    • Provide administrative support to the requesting departments utilizing Microsoft Outlook, Excel and Word to include office invoice review and tracking, monthly credit card statement distribution, A/P back up support as needed, report preparations, etc.
    • Provide administrative support to the Safety Team preparing monthly smart drive reports, safety summaries, quarterly safety reports and year end safety reports
    • Support the Expense program by reviewing monthly expense reports
    • Maintain corporate contact lists
    • Prepare written responses to routine inquiries
    • Review purchasing hotline for potential misdirected calls and provide receipt of literature letters to cold contact vendors.
    • Maintain equipment check-out list

      

    OTHER DUTIES & RESPONSIBILITIES

    • Mailroom Back up on an as need basis
    • Maintain office supply stock
    • All other duties and responsibilities assigned by management

     

     

    Required Skills

    • High School Diploma/GED required
    • Minimum of 1 years’ experience in an administrative or customer service role required
    • Must exhibit competent computer skills and knowledge of relevant software
    • Knowledge of operation of standard office equipment
    • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
    • Knowledge of principles and practices of basic office management
    • Must exhibit high level of professionalism and ability to maintain confidentiality
    • Must be highly organized and precise in work detail with the ability to prioritize and problem solve
    • Must be able to comprehend work demands and communicate clearly, verbal and written
    • Must be able to follow instructions accurately
    • Must be diligent, strong work ethic with an attention to detail and accuracy
    • Must be able to balance varying work demands and shift priorities if necessary
    • Must be able to work with strong personalities, be flexible and teamwork oriented
    • Provide high level of customer service
