    Position Summary:

    We are seeking a highly organized, proactive, and tech-savvy Remote Administrative Assistant to provide day-to-day administrative and operational support to our executive team and staff. This role is essential to the smooth functioning of our virtual office and client service delivery. The ideal candidate is detail-oriented, self-motivated, and comfortable working independently in a fast-paced remote environment.


    Key Responsibilities:

    • Manage calendars, schedule meetings, and coordinate appointments

    • Draft, format, and proofread correspondence, reports, and presentations

    • Organize and maintain digital files and records using cloud storage systems (e.g., Google Drive, Dropbox)

    • Handle email and phone communications on behalf of executives

    • Prepare meeting agendas, take minutes, and follow up on action items

    • Track project progress and assist in ensuring deadlines are met

    • Assist with onboarding new clients or team members

    • Perform data entry and basic bookkeeping tasks as needed

    • Conduct internet research and prepare summaries or reports

    • Manage internal communication tools and workflows (e.g., Slack, Asana, Trello)


    Qualifications:

    • Proven experience as a virtual assistant, administrative assistant, or in a similar role

    • Excellent written and verbal communication skills

    • Strong time management and organizational skills

    • Proficiency with Microsoft Office Suite, Google Workspace, and project management tools

    • Ability to handle confidential information with discretion

    • Reliable internet connection and home office setup

    • Comfortable working independently and across time zones

    • Associate’s or Bachelor’s degree preferred (or equivalent experience)


    Preferred Skills (Not Required):

    • Familiarity with CRM systems (e.g., HubSpot, Salesforce)

    • Experience supporting a leadership team or executive-level staff

    • Social media or content management experience

    • Knowledge of small business operations or nonprofit sector
