    Project Coordinator – Repair & Maintenance

    Position Summary

    We are seeking a highly organized and detail-oriented Project Coordinator to support the daily operations of the Repair & Maintenance department within a fast-paced manufacturing environment. This role is responsible for coordinating maintenance projects, tracking preventive maintenance schedules, managing work orders, and ensuring timely communication between departments, vendors, and maintenance technicians.

    The ideal candidate will have strong organizational and communication skills, the ability to manage multiple priorities, and experience working in manufacturing, facilities, or maintenance operations.

    Schedule: Monday – Friday | 8:30 AM – 5:00 PM
    Salary: $28/hr

    Key Responsibilities

    Maintenance & Project Coordination

    • Coordinate and track preventive and corrective maintenance projects from initiation through completion.

    • Assist in scheduling maintenance activities to minimize operational downtime.

    • Monitor project timelines, work orders, and maintenance requests to ensure timely completion.

    • Support the Maintenance Manager with planning, prioritization, and execution of maintenance-related projects.

    • Track maintenance KPIs, project progress, equipment downtime, and service completion.

    Work Order & Documentation Management

    • Create, update, and maintain maintenance work orders and service records.

    • Ensure all maintenance activities are properly documented and completed according to company procedures.

    • Maintain accurate records for equipment repairs, inspections, vendor services, and preventive maintenance schedules.

    • Prepare reports, spreadsheets, trackers, and maintenance summaries for management review.

    Vendor & Department Coordination

    • Coordinate with external vendors, contractors, and service providers for maintenance and repair projects.

    • Communicate with Production, QA, Warehouse, Engineering, and Facilities teams regarding maintenance schedules and equipment availability.

    • Follow up on pending repairs, replacement parts, and outstanding maintenance requests.

    • Assist with obtaining quotes, scheduling vendor visits, and tracking service completion.

    Inventory & Equipment Support

    • Monitor maintenance inventory levels, spare parts, and equipment supplies.

    • Assist in tracking purchase orders and maintenance-related expenses.

    • Support equipment inspections and coordinate repairs as needed.

    • Help ensure proper maintenance and safe operation of facility equipment and systems.

    Compliance & Safety

    • Ensure maintenance activities follow GMP, OSHA, safety, and company compliance standards.

    • Support safety initiatives and proper documentation practices within the maintenance department.

    • Assist during facility inspections, audits, and compliance reviews.

    Qualifications

    • Associate or Bachelor’s degree in Business, Project Management, Engineering, Industrial Technology, or related field preferred.

    • 1–3 years of experience in project coordination, maintenance operations, facilities, manufacturing, or related environment.

    • Strong organizational, multitasking, and problem-solving skills.

    • Excellent written and verbal communication skills.

    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

    • Experience with CMMS systems, ERP systems, or maintenance tracking software preferred.

    • Ability to manage multiple projects and priorities in a fast-paced environment.

    • Bilingual English/Spanish preferred.
