About the Reservation Specialist position
The Transportation & Events Booking Coordinator plays a key role in ensuring our clients enjoy a seamless, stress-free travel experience from the very first interaction. Your primary responsibility will be to accurately book ground transportation reservations with meticulous attention to detail, while delivering clear, friendly, and professional customer service.
On any given day, you’ll assist clients with their travel needs, answer questions about timing and pickup instructions, prepare quotes, and communicate with clients through email, text, phone, and chat — always maintaining a polished and upbeat tone. You’ll spend much of your time entering and updating reservation details, preparing routing and logistics for group movements (Corporate and Weddings), responding promptly to inquiries, and ensuring every booking is accurate and complete.
This role is perfect for someone who thrives on consistency, precision, and delivering outstanding customer care. You should be comfortable working in a fast-paced, detail-driven environment where accuracy and responsiveness are equally important.
In addition to individual reservations, you’ll work closely with our Office Manager to help coordinate group travel, weddings, wine tours, and other special events — making sure every movement runs smoothly from start to finish.
Qualifications and Skill Set
Exceptional attention to detail and accuracy in data entry.
Strong written and verbal communication skills, with a professional and friendly tone.
Proven customer service skills with the ability to build rapport and maintain a positive client experience.
Highly organized, able to manage multiple bookings and deadlines at once.
Comfortable multitasking between phones, emails, booking software, and other tools.
Proficient in using reservation systems, spreadsheets, email platforms, and chat tools.
Quick thinker with strong problem-solving abilities for last-minute changes or logistical challenges.
Effective time management skills, especially during high-volume event periods.
Collaborative team player who works well with office staff, chauffeurs, and event partners.
Ability to remain calm, composed, and accurate under pressure.
Some Dispatching/reviewing details of trips with chauffeurs and any special requests
Lifting requirement of at least 40 lbs (luggage, cases of water, ice)

Schedule
In person position, some travel for local, onsite coordination
Training schedule: Mon-Fri. Training typically lasts up to 4 weeks.
Anticipated Schedule: Tues - Friday 9 am to 6 pm; Saturday 7 am - 3 pm
Rotating Holiday Schedule and some additional weekend days during high season
