Job Summary:
Holy Angels is seeking a detail-oriented and compassionate Resident Biller & Client Fund Coordinator to oversee the financial integrity of resident accounts, including Medicaid billing, Social Security coordination, and wage oversight. This role also serves as the Financial Planning Coordinator for Families, guiding them through fund management processes and regulatory requirements. The ideal candidate will ensure full compliance with SSA, DHH, and Medicaid standards while maintaining audit-ready documentation across all resident financial activities.
Specific Skills and Responsibilities:
Billing and Regulatory Reporting
Execute monthly ICF-DD Medicaid billing with accuracy and timeliness
Coordinate with SSA and Medicaid offices to resolve client fund issues
Prepare and submit required reports to SSA, DHH, and Medicaid in accordance with regulatory timelines
Client Fund Management
Maintain accurate, organized, and audit-ready records of all resident financial accounts
Monitor daily activity and balances across individual client fund accounts
Reconcile monthly client fund balances with resident ledger accounts
Resident Wage Oversight
Calculate and process resident wages in compliance with program standards
Ensure wage documentation is complete, accurate, and properly archived
Monitor wage disbursements and maintain reconciliation records
Family Financial Planning Coordination
Support families in understanding Medicaid and SSA reporting requirements
Facilitate transparent communication and documentation for financial planning and fund usage
Provide families with clear, accessible guidance on client fund management, wage disbursements, and allowable expenditures
Income Tracking and Special Projects
Calculate quarterly Club Income and ensure proper allocation to resident accounts
Support special finance and compliance projects with minimal supervision
Qualifications:
Experience in Medicaid billing, SSA coordination, and nonprofit financial management
Strong understanding of ICF-DD regulations and client fund compliance- Preferred
Exceptional attention to detail and organizational skills
Ability to communicate financial processes clearly to families and staff
Proficiency in reconciliation, documentation, and regulatory reporting
Education:
High School Diploma or GED or higher

Must be able to work with individuals with developmental disabilities
Physical Demands:
Walk, stand, sit, push, pull, stoop, kneel, crouch, reach, use hands and lift up to 50lbs, 2/3’s of the time
