    Job Summary:

    The Residential HVAC Coordinator plans, coordinates and monitors the activities of the Service Technicians and Installers to ensure customer's service needs are met promptly and satisfactorily; communicates with customers and employees with professionalism; tracks work status for service agreements, time and material and service projects; and processes reports including reconciliations of all finished work.

    Essential Duties and Responsibilities:

    1. Takes incoming customer calls.
    2. Schedules and coordinates all service calls; dispatches Service Technicians; manages contingency plans.
    3. Maintenance Filter Ordering
    4. Scheduling maintenance agreement work orders
    5. Coordinating Service Work Order AR Billing- Labor – Material
    6. Providing quotes on repairs
    7. Scheduling maintenance agreement work orders
    8. Serves as Customer point of contact
    9. Forecasts workload
    10. Work Order Part Ordering
    11. Creating Purchase Orders for work orders
    12. Ordering parts for repairs
    13. Receiving parts for repairs
    14. Creating customer numbers (AR Customers) (SM Customers)
    15. Creating work orders for Maintenance and Service Calls
    16. Creating purchase orders for equipment
    17. Ordering equipment
    18. Receiving equipment
    19. Tagging the equipment
    20. Scheduling Install calendar events * Permits, HERS, Sub Contractor
    21. Obtain/send to the client * Permits, HERS
    22. Assisting the Estimators in: * Take Offs
    23. Register Counts
    24. PDF Mechanical Plans
    25. Processing Change Orders
    26. Filing / scanning / copying
    27. Helping project manage the job
    28. Other duties as assigned

    Non-Essential Job Duties:

    1. Conducts customer surveys.
    2. Coordinates safety and other training for department.

    Essential Qualifications:

    1. HS Diploma or equivalent
    2. Computer literacy in office communication programs, Word and Excel
    3. Ability to effectively communicate with clients and staff
    4. Strong attention to detail and organization
    5. Demonstrated customer service skills
    6. Ability to keyboard at 60 WPM
    7. Some experience/knowledge of HVAC systems

    There is frequent sitting at stationary position and work station. Manual dexterity required for computer and programming work. There is occasional lifting of up to 25 lbs. Work performed in an office environment with moderate noise level. Reasonable accommodations will be made available.
