Position Summary
The Residential Coordinator is a key operational support role responsible for coordinating all facets of daily residential life across designated homes within The Adolphus Group. This position ensures individuals receive consistent, person-centered supports that align with their interests, goals, and care plans while maintaining financial stewardship and regulatory compliance. The Residential Coordinator works closely with the Residential Director and Senior Residential Director to integrate life enrichment, medication monitoring, logistical coordination, and budgetary systems across multiple residential settings.

Core Responsibilities
Residential Activity & Life Coordination
- Plan and coordinate meaningful, individualized activities for residents in collaboration with house teams.
- Serve as the primary liaison with Day Programs and Community Participation Support (CPS) partners, ensuring all placement and scheduling changes are communicated promptly to relevant team members.
- Conduct monthly one-on-one check-ins with each individual served to assess schedule satisfaction and activity relevance, documenting insights to inform activity planning.
- Foster innovative approaches to community integration by identifying local events, services, and supports that reflect the preferences and needs of each individual.
Budget Management & Financial Oversight
- Create and manage monthly residential activity budgets per individual, ensuring responsible use of waiver and personal funds.
- Maintain a live, Excel-based budget tracker for each home, logging all expenditures and receipts.
- Lead weekly financial review meetings with the Senior Residential Director to monitor progress, resolve discrepancies, and adjust plans as needed.
- Collaborate with the Residential Director to flag potential funding gaps and explore opportunities to add waiver-funded services when appropriate.
Transportation Planning & Communication
- Coordinate transportation needs for medical appointments, recreational outings, and other activities in partnership with House Leads and direct support staff.
- Maintain a rolling 30-day appointment calendar, updated regularly in Google Sheets.
- Ensure that transportation plans are clearly communicated and documented with all relevant team members for accountability and consistency.
Medication Administration & Compliance
- Obtain and maintain Medication Administration certification; identify and support additional staff to become trainers and observers.
- Conduct weekly MAR (Medication Administration Record) reviews with Lead DSPs to assess signature accuracy, PRN documentation, and overall compliance.
- Report discrepancies to the Residential Director and ensure timely follow-up.
- Monitor and confirm that all certified DSPs complete their 6-month medication practicum as required.
- Attend all psychiatric appointments and complete 90-day psych forms in collaboration with the Lead DSP and Program Specialist.
Inventory Tracking & Procurement Support
- Monitor inventory levels across assigned homes, including household supplies, personal items, and program materials.
- Maintain a real-time tracking chart accessible to house teams and leadership.
- Partner with the Residential Director to review needs weekly and execute timely restocking, in alignment with budgeted limits.
Documentation Review & Schedule Accountability
- Conduct weekly reviews of Daily Service and Progress Notes to ensure completion, accuracy, and alignment with individual care plans.
- Collaborate with the Program Specialist to ensure timely submission of required documents and follow-up as needed.
- Complete quarterly reports based on progress note data and other documentation.
- Ensure behavior logs and related forms are completed daily and submitted to the Program Specialist in a timely manner.
- Conduct monthly house checks to identify and report maintenance needs or facility concerns.
- Surface areas of concern to the Residential Director when documentation or schedules are not being followed, and support house leadership in reinforcing expectations.
- Collaborate with the HR People Partner and Compliance Officer to identify trends and support broader quality assurance efforts.
Required Skills & Qualifications
- Bachelor’s degree in Human Services, Special Education, Social Work, or a related field (or equivalent experience).
- Minimum of 2 years’ experience in IDD residential services or community-based programs.
- Proven ability to manage multi-site operations, budgeting, and schedule coordination.
- Strong written and verbal communication skills with the ability to build relationships with individuals served, team members, and external partners.
- Proficiency in Google Workspace (Docs, Sheets, Calendar) and digital document management.
- Valid driver’s license and reliable access to transportation.
Preferred Qualifications
- Experience working within ODP 6400 regulatory frameworks.
- Familiarity with waiver funding structures and person-centered planning practices.
- Bilingual in English/Spanish or American Sign Language (ASL) is a plus.
