The Engineering Assistant will play a crucial role in supporting the engineering team by managing various tasks related to project tracking, document management, and communication. The primary responsibilities of this role include updating project trackers, ensuring accuracy of data, reviewing technical documents, communicating with stakeholders, and assisting with the efficient flow of information within the engineering department.
Key Responsibilities:
1. Tenant Tracker Management:
- Add new tenants to the project tracker.
- Conduct thorough checks to identify and eliminate duplicate entries.
2. Property Responsibility List:
- Update the property responsibility list on a monthly basis.
3. MEP Plan Retrieval:
- Search clients' shared sites/folders for MEP (Mechanical, Electrical, Plumbing) plans.
- Determine the availability of MEP plans and catalog their location.
4. Internal Material Posting:
- Post available materials and documents to the designated internal folder on Egnyte.
5. Communication with Properties:
- Collaborate with property owners/representatives to request missing information, such as plans or field surveys.
6. Information Review:
- Conduct initial reviews of additional information received to ensure it comprises a set of MEP plans and is not a duplication of previously reviewed plans.
7. Information Forwarding:
- Once relevant information is received, promptly forward it to the engineering team.
8. Load Study and ESAM Updates:
- Utilize completed load studies to update the ESAM system.
9. Progress Tracking:
- Maintain and regularly update the project tracker to accurately reflect the progress of all items.
Qualifications and Skills:
- Education: High School Diploma; Associate degree preferred.
- Three years of administrative experience or project management experience.
- Strong organizational skills and attention to detail.
- Proficiency in using document management systems and tools.
- Familiarity with MEP plans and technical documents is a plus.
- Excellent communication skills, both written and verbal.
- Ability to work collaboratively and effectively in a team environment.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.).
- Highly motivated, proactive, and able to manage multiple tasks simultaneously.
- Problem-solving skills and the ability to adapt to changing priorities.
- Previous experience in a similar role or exposure to engineering projects is advantageous.
