    The Scheduling Coordinator is responsible for maintaining the client and caregiver relationship and ultimately helps provide a “best in home care” experience for clients and employees. This person plays an integral role in interfacing with caregiver and office management staff to ensure the proper caregiver and client match. This person also ensures that all referrals are received in an accurate and detailed manner and are properly handled. This person will perform various supervisory activities for monitoring of telephony/ClearCare system and other payroll responsibilities as needed. The successful candidate performs other office coordination duties and has an excellent working knowledge of MS Office and the ability to learn how to use our ClearCare client management system. The right person will maintain a positive demeanor at all times and is able to effectively multitask in a high-functioning office environment. The core competencies for a Scheduler are: Verbal Communication, Adaptability, Likability, Customer Focus, Decision Making/Judgment, Organization, Stress Management, and Resourcefulness as well as computer software applications skills to complement their work in our successful office. $2,000 hiring bonus if Candidate has demonstrable experience with ClearCare - Our main software for most functions of the Agency

    Job Description

    Ensures that all referrals are received in an accurate, detailed manner and are properly handled. Performs various supervisory activities for scheduling appropriate caregivers to clients using ClearCare database system. Working with time and billing processing where necessary and monitoring of telephony system and other payroll responsibilities as needed with other office coordination duties.

    Essential Functions:

    Answers telephone, takes inquiries or messages using good telephone techniques

    Receives referrals and inquiries within the programs of this company

    Interviews, screens and tests all applicants

    Schedules and coordinates day to day activities of caregivers

    Assists with recruiting, associate hiring, orientations, in-services, disciplinary actions, etc.

    Performs payroll duties including verifying time sheets, updating telephony records, client records and input for computer payroll processing

    Maintains documentation of associate work record in ClearCare and ensures current and complete personnel records for all home-care associates

    Communicates continually with associates and clients to evaluate services

    Responds promptly and courteously to all clients calls

    Performs on-call coordinator duties as needed

    Serves as liaison between associates and Operations Manager

    Assists with sales, marketing and public relations efforts

    Additional Non-Essential Duties

    Other duties assigned by the Operations Manager, Operations Director, Controller or Owner

    Education, Experience

    High School graduate or equivalent with at least two years of business experience

    Basic office and computer skills, organizational abilities

    Excellent interpersonal skills and abilities

    Excellent telephone skills

    Knowledge of common medical terminology

    Ability to work independently, demonstrating sound judgement

    Read, write, speak and understand English

    Be available for on-call duties outside of normal business hours

    Working Location and Environment

    Works primarily out of our West Los Angeles office (Santa Monica Blvd near Westwood Blvd)

    Special Instructions

    Must work under the direction of the Controller to ensure that associates with appropriate skills are assigned to individual clients

    Additional requirements:

    2 Years of experience

    Two professional references

    Valid California Driver License and reliable transportation with proof of automobile insurance

    We provide in-person interviews.

    Proper attire for work is required.
