The Office Assistant - Staffing Coordinator is responsible in performing a variety of clerical and administrative duties that support Office personnel and Care staff. The office Assistant will ultimately assist in file maintenance, caregiver recruitment and retention, facilitate in new hire onboarding, maintain regular follow-ups with applicants and caregivers, update care staff data entry, Assist the scheduling manager, provide caregiver back-up support and share on call coordination as assigned with other staff.
Job Description
Provides clerical support to agency management and supervisory personnel.
Maintains a positive demeanor and can effectively multitask in a high-functioning environment.
Can handle sensitive information with the highest degree of integrity and confidentiality
Responds to incoming calls to the office (during or after business hours)
Responds in a timely manner to any messages left
Assists with care staff data entry
Documents client and caregiver occurrences in the ClearCare system of record
Maintains strong communication and follow-ups with care staff
Delegates and plans tasks to appropriate staff when necessary
Informs appropriate staff of any personnel changes, and scheduling needs that arises
Keeps office staff informed of outstanding issues
This position requires In-office availability Monday - Friday 8:30 AM - 1:30 PM
The desired candidate will possess the following:
High school graduate or equivalent with 1-3 years of Home Care Experience
Basic office and computer skills and organizational abilities.
Excellent interpersonal relations abilities, Excellent telephone skills.
Have a valid driver license and use of insured automobile in addition to a clean driving record.
Knowledge of common medical terminology.
Able to pass a TB Test and Drug Screen.
Able to work independently, demonstrating sound judgment
Read, write, speak and understand English as needed for the Job.
Be available as required for on-call duties outside of normal office hours.
