    The Staffing and Recruiting Coordinator is responsible for the overall recruiting and staffing for the Right at Home East County office. This Right at Home office is a fast paced growing office that needs a full time dedicated staffing and recruiting coordinator. THIS IS NOT A REMOTE POSITION

    Responsibilities included but are not limited to; ensuring that there is complete and full employee coverage for all upcoming and planned shifts as well as planning to hire needed bench strength as the office continues to grow. The Coordinator is responsible for ensuring that staff receive the required training(s) based on the position they are assigned. The Coordinator assists the management team with generating schedules for immediate implementation and monitoring schedules to ensure compliance with Right at Home’s mission, vision and goals.

    The Staffing and Recruiter Coordinator maintains confidentiality of office and personnel information and establishes and maintains working relationships with the caregivers, care leads and all other positions within the office. This position will report directly to the President/Owner or HR Manager. This position will perform a variety of administrative work involving coordination of human resources activities, staffing and compliance; and to perform related work as required. The Staffing and Recruiting Coordinator is responsible for providing information and assistance to employees, clients, and other office personnel as required and/or requested regarding staff activities, and all company processes, policies, and procedures.

    The Human Resources Staffing Coordinator ensures compliance with company and state protocols, policies, guidelines, standards, and assists with the implementation of daily operations, activities, and administrative support of the clients.

    Essential Duties include:

    Plans, develops and implements scheduling strategies and solutions including process reviews to assess and to address scheduling services for the business.

    Calls and schedules staff for replacement of short-notice absences, leaves of absences (e.g., vacations, extended sick leaves) and schedules adjustments using a computerized scheduling system and according to Scheduling processes, office policies, manager guidelines and the employee’s position information. This position may be required to fill in for a scheduled shift that could not be filled.

    Process advance scheduling requests to fill shift deficits. Verifies scheduling changes as a result of organizational needs.

    Demonstrate commitment, ownership, and problem-solving skills to ensure consistent staff coverage in a dynamic environment.

    Provides support and technical instruction on scheduling and processing issues to care leads and other staff.

    Review and approve staffing ratios to ensure compliance with staffing guidelines and minimize overtime expense and adequate bench strength as new clients come on board.

    Schedule, Organize and Lead onboarding, orientation, and scheduling of newly hired employees. Ensures new hires complete necessary training.

    Schedule all out-of-schedule- staff training requested/needed by the office and or clients. Ensure that staff partakes in all regulatory required training and that training records are in line with state guidelines.

    Take last minute call-out from staff, which are passed on to yourself as the Staffing Manager, shared with care lead and office management to triage coverage. May be required to cover shift if no other options are available..

    Prepare schedule for weekly billing and payroll.

    Track employee late arrivals and absences as well as call in employees for attendance counseling as needed.

    Answer office phones; will need to be able to handle a service intake call, a client compliant or issue that needs to be resolved as well as caregivers issues. Elevate to other staff as necessary.

    Complete all necessary EDD paperwork and ensure returned timely back to EDD.

    Coordinate plans for employees birthdays and anniversaries (i.e. ensure the office knows who’s birthdays are in a given month, prepare and send out birthday and special cards to the care staff).

    Maintain all caregiver files; employment files, W2, I9, Work Comp and OSHA (Covid/Safety reports).

    Review necessary office supplies and notify office management when running low and what is needed to re-order.

    Coordinate calling phone/data and IT companies as needed if there are any issues within the office that need to be addressed.

    Help make the office environment fun and inviting.

    · Experience: Minimum of (1) year experience progressively responsible experience in staffing and/ or coordinating of administrative duties and tasks.

    · Special Qualifications:

    · Minimum of (1) year of scheduling experience; Clear Care experience (preferred).

    · Demonstrated competence and experience with Excel, Access, Outlook, Microsoft Office suite (2010 or above) and similar software is required.

    · Bilingual (Preferred)

    · Knowledge of:

    · · Telephone, office, and online etiquette

    · · Computer software (i.e., word processing, spreadsheet, database, and graphic)

    · Ability to:

    · Communicate effectively verbally and in writing

    · Establish effective working relationships with care staff, care leads, other management, and our clients and their families

    · Ability to apply common sense, decision-making, assessment and/or principles of supervision.

    · Ability to multitask in a busy environment.

    · Ability to adapt and quickly learn new software programs for use in daily tasks.

    · Demonstrate excellent customer service, time management and a communication style that is direct, concise, easily interpretable, yet friendly and approachable for all employees.
