  • Responsibilities

    The Office Assistant for River City Company (RCC) serves an integral role on the Operations team and is responsible for providing a wide range of administrative and office support, while acting as the initial point of contact for inquiries and office visitors. This individual's responsibilities will be divided between administrative and executive support, as well as office management.

    The ideal candidate is extremely organized, eager and willing to learn quickly, and able to accomplish a variety of needs for the company and its team members. This position is part-time, with 4-5 hours of work per weekday.

    Job Duties include (but are not limited to):

    • Maintain professional appearance and cleanliness of office and shared spaces, including the reception area, conference rooms, and break room
    • Act as the liaison with all outside office vendors, dictating any special needs or schedules (cleaning company, recycling company, printer company, etc.)
    • Act as the point of contact for the Board of Directors, managing all quarterly board meetings by preparing materials alongside the RCC team, sharing materials, setting up meetings, and recording and maintaining board minutes
    • Answer and direct phone calls and manage the overall office phone system
    • Organize, schedule, and coordinate appointments and meetings, as needed
    • Order office supplies and restock as necessary
    • Act as the initial point of contact for internal and external inquiries
    • Provide general support to visitors
    • Liaise with staff to handle requests and inquiries
    • Maintain and organize files and records with effective filing systems, both physical and digital
    • Maintain and add to RCC contact database
    • Sort mail for RCC, as well as office tenants
    • Assist the Director of Operations in continuously improving RCC processes and procedures to increase efficiency
    • Assist the Financial supervisor with check preparation, bank deposits, and mailing and filing invoices

    Qualifications:

    • High school diploma or equivalent required
    • Previous experience in administrative support or office management preferred
    • Competent computer skills and knowledge of word processing and spreadsheets is required
    • Excellent organizational skills and a keen attention to detail
    • Self-motivated, flexible, adaptable and resourceful
    • A proactive problem solver who is energetic, flexible and collaborative
    • Strong desire to work hard in a fast-paced, dynamic environment with high-energy and mission-driven colleagues
    • Exceptional written, verbal, and interpersonal skills along with the ability to effectively interface with senior management, staff, RCC partners, and the community
    • Passion for RCC's mission, the Downtown Chattanooga community, and for creating a Downtown Chattanooga for all Chattanoogans
