RIVIA Mind is seeking a full-time Payroll and Benefits Specialist to join our People team. You’ll be an essential part of creating a supportive environment, making sure our employees get paid on time, and building great benefits packages. You'll be responsible for all-things-payroll and should be up to speed on current US and State regulations. Under the supervision of the Chief People Officer, this position is responsible for the overall operation of the payroll processes and functions related to successful completion and administration to the bi-weekly payroll including data input and maintenance of the HRIS and time attendance. This position will provide conscientious and streamlined resolution of employee concerns from benefit orientation to onboarding all the way through the life-cycle of employee experience.

RESPONSIBILITIES
PAYROLL
- Ensures timeliness and accuracy of multi-state full-cycle payroll on a bi-weekly basis for 200+ employees; Run special off cycle payrolls as needed
- Perform data entry and maintenance of all employee info into BambooHR payroll system
- Research and resolve questions for employees as they relate to the processing of payroll.
- Review monthly, quarterly and annual payroll reports for accuracy and report any discrepancies to the Director of Finance and Chief People Officer immediately; including but not limited to headcount and turnover.
- Ensure ATF’s compliance with Workers Compensation and with NYS Disability Laws
- Creates payroll, benefits manual for HR department.
- Responsible for state business registration and updating payroll tax information per state
- Respond to tax notices and ensure compliance with all applicable State and Federal wage and hour laws in the US.
- Processes all incentive payments ensuring that all approvals have been obtained
- Process benefit elections, merit raises, salary changes, garnishments, and severance.
- Record voluntary deductions, as well as processes biweekly 403(b), child support, wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary authorities
- Serves as an internal expert, assisting the department and its employees on matters of payroll, state and federal employment/labor laws related to compensation and benefits, employee benefits, and employee leave laws/regulations.
- Responsible for processing enrollments, changes and terminations for all benefit plans in a timely and accurate fashion
- Review and respond to unemployment claims with appropriate documentation. Review monthly unemployment statements.
BENEFITS ADMINISTRATION
- Audits and maintains accurate benefits payments
- Deliver Benefit Orientation presentation to new hires
- Provide timely and accurate administration of benefit plans to include open enrollment, renewals, changes, and terminations for benefits programs including medical, dental, vision, disability, and 401k
- Manage company 401k plan, including payroll filing, reporting, answering employee questions, completing annual discrimination testing, annual summary report, audits, maintenance of plan files, & 5500 filings
- Complete annual compliance reports including EEO -1, Vets 100, and OSHA 300
- Leading and organizing all annual open enrollment processes, activities and administration, including broker relations, HR coordination, and payroll system integration.
- Strong familiarity with employee privacy laws, including HIPAA.
- Responds to benefits inquiries from employees on plan provisions, benefits enrollments, status changes and other general inquiries.
- Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
- Assist CPO with integration of acquired companies into payroll and benefits
- Assist CPO with creating a compensation matrix for all roles with RIVIA
- Identifies opportunities and recommends solutions for process improvement based on trends, best practices, and employment laws and regulations
- Contributing to quarterly Human Resources objectives and key results
- Assisting on various HR-related projects
- Drive solutions that improve not only payroll systems, but the overall team experience
- You will partner with our insurance brokers to develop our benefit offerings
REQUIREMENTS
- 5+ years in an exempt-level payroll and benefits specialist role with at least 200 employees.
- Bachelor’s degree in Accounting, Finance, HR Management or a related field preferred
- Computer proficient: GSuite
- Knowledge of BambooHR preferred
- Knowledge of state and federal regulations impacting payroll and employee benefits
- Excellent mathematical, organizational skills and attention to detail
- Completed (or working towards) Certified Payroll Professional Certification
- Knowledge of HR, benefits and payroll laws including: EEO, AA, ACA requirements, ADA, FMLA, COBRA, and state/local payroll requirements
- You have experience paying out commissions
- Knowledge of benefit programs including health insurance, STD, LTD, workers compensation insurance, LOAs, unemployment regulations, life insurance, 401(k), COBRA, etc.

Salary $75,000/yr - $90,000/yr
The salary range for this full-time position is $75,000.00 - $90,000.00 plus benefits. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position based on a New York City located Employee. Within the range, individual pay is determined by Employee location and additional factors, including job-related skills, experience, and relevant education or training.
