    SUMMARY:

     

    Reporting to our General Counsel, GS1 US is currently in search of a Legal Assistant with strong knowledge in SharePoint to join our small and agile legal team.  In this administrative role, the Legal Assistant will be working with internal and external clients to help prepare legal documents for electronic storage for easy reference and administrative matter management in our legal department tool. 

     

    The assistant will also support our General Counsel with arranging travel, process expenses using Concur, and arrange logistics for legal team meetings as needed. 

     

     

    SUPERVISORY RESPONSIBILITIES:

    Individual Contributor, no supervisory responsibilities

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES :

    • Document Manager for all legal ownership documents including Corporate Governance documents
    • Assists in the preparation of legal documents for electronic storage, access and circulation/publication, including document scanning and conversion, review of content and extraction of key data and text excerpts for categorization and indexing purposes, etc.
    • Sets up and maintains legal reference files/records (electronic and paper) for the work unit with appropriate tagging of data in Sharepoint and integration with other systems.
    • Accurately process and track legal work, including uploading documents into various databases and management systems and updating status charts and tracking reports. Support department on any new department project initiative.
    • Arrange travel and accommodations including comprehensive and detailed itineraries
    • Process department travel expenses and reimbursements and keep accurate and timely expense account records; prepare and process expense reports and reconciliations in accordance with Company policy guidelines
    • Arrange complex logistics for multiple-attendee and multiple-location meetings (including Telepresence and slide presentation set-ups)
    • Coordinate audio/visual needs for meetings
    • Process outside counsel and other legal-related invoices
    • Regularly interact with internal business and Board members and assistants of Board members.
    • Compliance Support- tracking of compliance statistics and development of appropriate reporting
    • Assist in tracking and monitoring of trademark portfolio through interaction with internal clients

    Required Skills

    EDUCATION AND REQUIRED SKILLS:

    • Demonstrated high-level proficiency in Microsoft Word, Excel, PowerPoint, AdobeSign and Outlook
    • Demonstrated knowledge of SharePoint (tagging, searching, creating files and reports)
    • 3-5 years of experience and understanding of basic legal concepts
    • Over 5 years of Legal Assistant experience in a corporate legal team.

     

     

    TRAVEL REQUIREMENTS:

     

    Less than 5% (maybe a conference 1 time a year)
