    POSITION SUMMARY:

    Vallen’s Flexible Procurement Solution (FPS) Operations Specialist is an individual contributor responsible for assisting with FPS implementations.  FPS is an inventory management system that combines advanced technology with industrial vending to drive productivity and reduce cost for businesses.  This position is a customer facing position that collects customer requirements, identifies best vending product fit and assess the customer’s site readiness. The FPS Specialist will provide post- go live support by responding to customer inquiries and service requests.

     

      ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

    • Collect and review all customer information sheets to ensure customer requirements are documented and complete.
    • Participate in kick-off meetings and communicate with project stakeholders to discuss customer needs requirements, customizations and project timelines.
    • Recommend the best vending option and layout for customers. Validate whether the form, fit and function of the software recommended vending option would meet the need of the customer.
    • Maintain shared data files detailing customer-vending specifications (e.g. item, manufacturer, model, part number, dimension and vending type).
    • Complete detailed project plans and follow detail procedures in preparation for installation and configuration.
    • Conduct site readiness assessments such as review space requirements, test sample badges, test internet connectivity and speed.
    • Coordinate customer service request to redeploy or disengage the solution in accordance with operational procedures.
    • Facilitate automation between Solution software and ERPs including inventory replenishment and billing
    • Serve as the point of escalation for customers on dispensing hardware and software issues; troubleshoot and resolves issues; escalate issues to vendor when necessary.
    • Execution of Adds, Edits and Changes within the full scope of software and hardware utilized within FPS.
    • Monitor and maintain project schedules to maximize productivity and ensure projects are completed on time.
    • Participate in process improvement initiatives (e.g. hardware and software enhancements, inventory control development).
    • Review customer-reporting needs and communicate with Dispensing & Configuration to ensure reports are capturing the performance of the dispensing tool.
    • Test dispensing software upgrades prior to deployment and assist in upgrade process
    • Collaborate with the VMI team to ensure that VMI and Vending areas are set up in accordance with new customer expectations and Vallen standards
    • Maintain up-to-date knowledge on industry technology, standards and trends and best practices.
    • Collaborate with Field VMI on scanning and labeling technologies. Work with IT on enhancements, testing and rolling out for field use.
    • May conduct and facilitate meetings with customers regarding solution optimization, enhancements and/or upgrades
    • Make recommendations to increase or decrease ordering controls based upon volume, lead-time, and customer and vendor specifics
    • Travel to customer sites to support installations and/or on-going maintenance of the FPS solution.
    • Provide 24/7 tech support for the FPS solution on a rotational basis.
    • Perform other duties as assigned.

    REQUIREMENTS:

    Bachelor’s degree or equivalent work experience. Relevant work experience should include:

    • Excellent verbal and written communication skills
    • Excellent customer service skills
    • Project management experience
    • Strong attention to detail, time management and organizational skills
    • Excellent PC Skills including, but not limited to; MS Word, MS Outlook, Visio
    • Demonstrated advanced level skills in Excel
    • Ability to work independently within defined processes and procedures
    • Product and/or industry knowledge is preferred (e.g. Inventory Management, Supply Chain Management, Industrial Vending)

  • Qualifications
    • Must have excellent written and verbal communication skills to communicate effectively with staff, patients, guarantors, insurance companies, and physicians
    • Demonstrated attention to detail;
    • Good English oral communication skills including reading, and writing in basic English
    • Basic mathematical skills is required  
    • Demonstrate ability to learn quickly, and follow directions as outlined in policies or given by Supervisor
    • Strong Computer skills and Knowledge in Word, Excel and ability to maneuvering through multiple screens in a timely manner
    • Medical terminology knowledge strongly preferred
    • Insurance knowledge required
    • Ability to multi- task in a fast and high pressured environment
    • Stringent adherence to all HIPAA laws
    • Strong typing skills 40 and up wpm is required
    • Strong analytical skills, problem solving with the ability to act and decide accordingly.
    • Excellent Customer service and phone skills with a background in the medical industry
    • Bilingual, Korean preferred
