    Job Description

    Rolf C. Hagen (USA) Corp a major manufacturer in the pet industry is in search of an Accounts Payable Specialist to join its progressive and dynamic organization in Mansfield, Massachusetts.   

    Rolf C. Hagen Inc. originated in Montreal, Canada in 1955, when its founder Rolf C. Hagen arrived from Hamburg, Germany. Hagen occupies a unique position in the pet industry in their ability to manufacture and distribute pet products across seven categories including Aquatic, Dog, Cat, Bird, Small Animal, Reptile, and Pond.     AS A MEMBER OF THE FINANCE TEAM REPORTING TO THE CHIEF OPERATING OFFICER, THE ACCOUNTS PAYABLE SPECIALIST WOULD BE RESPONSIBLE FOR THE FOLLOWING:

    POSITION SUMMARY:

    Perform accounting and administrative functions to ensure the accurate and timely payment of the company’s payables. Respond to all vendor inquiries, maintain vendor database. Prepare monthly reports as required; maintain accounts payable files and records.

    PRIMARY RESPONSIBILITIES:

    Prepares and processes all invoices for payment; matches purchase orders (PO) and proof of delivery (POD) to invoice, codes appropriate cost center GL number and secures authorization for payment as necessary. Responds to vendor calls and inquiries, researches and resolves balance and other discrepancies as necessary.

    Batches invoices and enters vendor name, invoice number, amount, payment date, terms and other data into accounts payable system for check generation, reconciles batch totals and files invoices in pending payment file.

    Generates checks on a weekly basis. Reviews invoices in pending payment file and selects invoices for payments, selects payment batch on payables system and selects individual invoices by vendor for payment, generates checks through the system, photocopies checks, submits checks for authorized signature, matches check to vendor remittance, stuffs envelope and sends to mailroom. Files invoices, check copies and other related paperwork.

    Generates “quick checks” for immediate payment of various exception invoices and other items, such as taxes, payroll withholding items, etc., on routine and as needed basis. Maintains vendor data base including name, address, payment terms, cost center GL number, TIN or SSN for 1099 reporting, etc.

    Compiles data and prepares monthly reporting for Controller.

    Reviews outstanding invoices on month-end trial balance for accuracy, makes adjustments as necessary.

    OTHER RESPONSIBILITIES:

    Compiles and prepares various reports on a monthly or as needed basis, e.g.travel expense report, etc. Assists with special projects, reports and other activities of the finance department as requested. Generates year-end Form 1099 to vendors and suppliers as required. Assist with bank audits and year end PWC Company audit.

    EMPLOYMENT STANDARDS:

    Education/Experience: Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.

    • Associates Degree and Two to Five (2 to 5) years experience performing all aspects of accounts payable.

    Knowledge: Comprehension of basic accounting practices, prior knowledge and experience with standard accounts payable software programs, ability to create and work excel spreadsheets and word processing software, strength in basic math computations, calculators, and ability to operate other standard office equipment.

    Skill: Self-starter with initiative and ability to follow through on assignments; work independently from general instructions. Comprehension of general ledger function for proper account coding; accuracy and attention to detail.

    Requirements: Reliable and a team player with the ability to interact and get along with co-workers and vendors. Take direction from the Controller. Must be able to sit for long periods of time, lift a minimum of 5 lbs, and stand intermittently.
