Job Description
This position is responsible for the overall Accounting deliverables for their clients (Quarterly financials, monthly cash flow and daily disbursements). Direct client representative contact for processing client’s bills and setting up new accounts for service for theirhome, boat or planes etc.
WHAT YOU WILL DO
- Review client disbursements for accuracy in payment and coding.
- Prepare Excel worksheets containing analysis of client financial data such as broker analysis and construction or investment history spreadsheets.
- Generate client cash reports using Quickbooks accounting software for monthly client deliverables and for in-house review of client disbursements and updating disbursement reports.
- Deliver monthly and quarterly financial statements to Accounting Manager and/or client service teams in a timely and accurate manner.
- Downloading data from brokerage, bank and credit card accounts online into GL System for efficient and accurate record keeping.
- Perform relevant administrative duties (e.g. responding to 3rd party vendors via email/phone, handling and/or scanning invoices/documents and maintaining virtual files.)
- Perform monthly account and bank reconciliations to ensure accuracy of records, reviewing same work when staff accountant is available to perform reconciliations.
- Alerting Partner or Accounting Manager to possible client asset protection issues.
ACCOUNTABILITIES
- Accurate and timely processing of personal bills for high-net-worth clientele using accounting software provided (Quickbooks Online and Bill.com). Review recurring items and process both routine check runs and special expenditures.
- Primary processor of client cash account and must ensure sufficient funds are available for forecasted and extraordinary items such as capital calls and construction progress payments.
- Maintain accurate books and records for clients personal and business activities.
- Ensure confidentiality of client’s records and files when dealing with client staff and 3rd party advisors. Discreetly hold and manage online access codes for banks, brokerage, credit card and utilty accounts.
- Position interacts daily with Accounting Manager and 3rd party vendors to collect vital data.
- Report to Accounting Manager on the day to day tasks and deliverables for client activity and workflow/process to improve productivity.
KNOWLEDGE AND SKILLS
Knowledge:
- Bachelor’s degree in accounting, finance or a related field preferred
- 1-2 years Accounting experience. Preferably with individual accounting, small companies or consolidated financial
Skills:
- Strong verbal and written communication skills
- Ability to multi-task and work in a fast-paced environment with tight deadlines
- Excellent organizational, time management and customer service skills; detail-oriented; team player
- Proficient with Microsoft Word and Excel.
- Working knowledge of QuickBooks Online and Bill.com preferred.
WORKING CONDITIONS
- Professional office environment sensitive to work-life balance with the ability to work on a hybrid model. The candidate must be able to commute to the office in Palo Alto.
