    THE OPPORTUNITY

    The Administrative Assistant is responsible for the overall office support of the entire residential division including executive support to Directors/Managers/Owners. Responsible for managing day-to-day business activities, customer and employee interactions, streamlining procedures, and intra-office communication.

    WHAT YOU WILL BE DOING

    • Sharing in the responsibility to answer and screen all incoming office calls; greets and directs visitors accordingly and takes and retrieves messages for various personnel.
    • Providing general office clerical support as needed, i.e., prepare and/or scans documents, weekly and monthly reporting for field personnel, committees, marketing, and others as needed. Develops maintains and distributes office communications to and for all departments, coordinates and tracks contests and awards, coordinates, and plans travel. Assist in planning for meetings and taking meeting meetings.
    • Assisting executives in checking and answering emails, managing, and communicating calendar events and appointments, sorting documents, answering phone calls, other correspondence as necessary, and organizing office and files.
    • Tracks, updates and reports all residential division timekeeping daily and reporting any and all discrepancies.
    • Assists with potential new hire applications, scheduling interviews and new hire orientations as needed.
    • Providing support to field operations such as printing field paperwork, assisting in troubleshooting cell phone issues and other tasks as requested.
    • Maintaining the office and its cleanliness, ordering kitchen supplies, office supplies and other stocked supplies within allocated budget.
    • Assisting with marketing administrative duties including but not limited to; digital and social media coordination, website updates, direct mail marketing, maintain and updating reports, all event support, prepare marketing follow up and sales packets, work in CRM to support marketing and estimating team in lead tracking and follow ups. Works closely with outside marketing as the need arises.
    • Contacting vendor for IT support/troubleshoots for members of the office and provides support with equipment/software/phones training, as necessary.
    • Assisting in the organizing and planning of employee-related events.
    • Assisting in recording and submitting expense reports for various personnel to accounting for division as requested.
    • Providing translation services as needed.
    • Running errands for office needs, as applicable.

    WHAT YOU WILL BRING TO OUR ORGANIZATION

    • Bi-lingual skills.
    • Minimum 1 year reception/customer service experience.
    • Knowledge of operating general office equipment and MS Suite PC skills.
    • Knowledge with Phone/Tablet technology (preferrable Apple equipment)
    • Self-driven with a “can do” attitude and willingness to go above and beyond.
    • Minimum of 1+ years of marketing experience preferred.

    WORKING CONDITIONS & PHYSICAL REQUIREMENTS

    • Work is performed in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopies and filing cabinets. This is a full-time position, and the hours of work and days are Monday through Friday, 8am to 5pm, but subject to change based on business needs.
    • While performing the duties of this job, you will frequently sit at a desk for prolonged periods working on a computer. You will regularly be required to reach with hands and arms and frequently required to stand; talk or hear; walk; and use hands to finger, handle, feel or operate objects, tools, or controls. An occasional requirement to climb or balance; stoop, kneel, crouch, or crawl.
    • You may at times lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
