    POSITION SUMMARY:

    We are looking for a full-time bilingual English/Spanish, detail oriented, fast paced, and friendly individual that will have entry level Human Resources and Accounting knowledge to assist in Human Resources and Accounting responsibilities.

    The Human Resources/Accounting Administrative Assistant is responsible for assisting with the administration of the day-to-day operations of both departments. The HR/Accounting Admin Assistant duties includes the handling of extreme, sensitive, confidential information and working closely with the HR Manager, Controller, and the Accounting Coordinator.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

     HUMAN RESOURCES FUNCTIONS:

    • Maintain accurate and updated department and employee files.
    • Assist with keeping the Human Resources bulletin boards and other postings as needed.
    • Assist putting together new hire/WC packets.
    • Provide clerical support to the HR Manager.
    • Updates and makes recommendations to improve the staff bulletin boards and staff communication.
    • Documents and tracks human resources actions by completing forms, reports, logs, and records to include 401k changes.
    • Back-up to HR Manager for Time & Attendance.
    • Assist with the coordination employee events and recognition, e.g., Chili Cook-Off/Christmas events.
    • Assist the HR Manager with Open enrollment.
    • Assist in working with the Temporary Agencies.
    • Maintains confidentiality with regards to all sensitive personnel information and situations.
    • Performs other related duties as required.

       ACCOUNTING FUNCTIONS:

    • Provide clerical support to the Controller and Accounting Coordinator
    • Process all incoming invoices.
    • Process weekly disbursements.
    • Entry with Accounts Receivable and Accounts Payable.
    • Prepare and maintain various spreadsheets.
    • Assist with researching, tracking, and fixing accounting discrepancies.
    • Verify completeness and accuracy of all vouchers, checks requests, and employee expense reports.
    • Comply with established internal control practices and procedures. ensure proper management of financial transactions.
    • Assist with month end-end activities.
