SUMMARY
The Human Resource Assistant is under direct supervision of the Human Resource Manager. Oversees all operations in the organization that deals with employee issues. Supports human resources processes by administering tests, scheduling appointments, conducting orientation, maintaining records and information.
DUTIES & RESPONSIBILITIES
Adheres to strict confidentiality principles.
Assist with day-to-day operations of the HR functions and duties.
Provide administrative support to Human Resource Department.
Compile and update employee records (hard and soft copies).
Assists with revisions with current introductory training documents, Human Resource documents and position descriptions.
Greet employees, potential applicants, the public, answer questions, answer phones, direct calls, and take messages.
Performs general office duties. Including, but not limited to typing, filing, and completion of simple forms.
Operates office machines including, but not limited to copiers, scanners, phone, and voicemail system, computers, and other standard office equipment.
Make copies of Human Resource forms as needed.
Filing personnel paperwork in appropriate files, maintaining manual and electronic filing systems.
Maintain, update and/or approve employee demographics (addresses, contact information, etc.) as needed in APS.
Assist with scheduling interview dates and times for potential new hires.
Provides information to interviewees concerning pay, benefits, and personnel policies.
Answer applicant and hiring department questions about the interview process.
Assist with coordinating orientation and training sessions for new employees.
Assist new employees with correctly completing onboarding tasks.
Assist employees with training modules with log in credentials and starting training videos.
Maintain uniform inventory, washing and drying of employee uniforms, upkeep of uniform rooms.
Train and/or retrain employees on use of APS time clock.
Issue photo badge, fob, pos card, and correct uniform for position hired.
Ensure new hires have a copy of position description, training checklist, and supervisor contact information.
Email supervisors of new hire completion and provide contact information.
Track employee job anniversaries, create anniversary certificates, order employee service awards and pins.
Maintain list of required certifications and notify supervisors when employees need to re-certify.
Maintain and update on regular basis the REDW website, employee information, wages, dates of hire and termination dates.
Other duties as assigned.
EDUCATION & EXPERIENCE
High school diploma or equivalent required.
2 years of Human Resource experience is required.
Proficient with Microsoft, Excel, Outlook, and other related software.
CERTIFICATIONS, LICENSES, AND REQUIREMENTS:
Annually watch customer service video.
Required to watch sexual harassment video every two (2) years.
Possess a valid Montana driver license and insurable under the company’s policy.
This individual must successfully pass a pre-employment drug test and as a condition of employment will be subject to random drug testing.
It is always the responsibility of the employee to have all required documents current and valid.
