Job Description
**Executive Assistant Duties & Responsibilities: **
The executive assistant will be responsible for three locations: a) 3100 Mill Street, b) 1015 Telegraph Street, and c) 3445 Airway Drive. The main office/location will be at 3445 Airway Drive or wherever the President of the Company chooses to be located. This position will require an individual to come into the office with a positive attitude to foster a “can-do” and “get the job done” attitude. This position will also require great coordination and seeing projects completed at the request of executive management.
Administrative Support:
Manage and organize office files, documents, and records.
Coordinate and schedule meetings and events
Assist with general clerical tasks such as photocopying, faxing, and data entry
Respond to email correspondences in a timely manner
Facilities Management:
Oversee the maintenance, and organization of office facilities and equipment
Assist and give records to the management
Coordinate repairs, maintenance, and renovations
Manage office supplies, equipment, and employee breakroom (ensure all office/break are fully stocked with stationary and snacks)
Human Resources Support:
Assist in the recruitment process, including job postings and initial candidate screening
Coordinate onboarding and orientation for new employees
Maintain employee records and update HR systems when necessary
Communications and Correspondence
Handle incoming and outgoing communications
Draft and proofread office documents, reports, and correspondence
Act as a liaison between management and employees
Financial Management:
Assist in managing office budgets and expenses
Process invoices, manage cash, and reconcile financial records
Coordinate with accounting for payroll and other financial matters
Office Policies and Procedures:
Develop and update office policies and procedures
Ensure compliance with company policies and regulations
Educate employees on office policies and procedures
Team Management and Leadership:
Supervise and provide guidance to administrative staff
Foster a positive work environment and promote teamwork
Address conflicts and provide solutions to improve team dynamics
Technology and IT Support:
Oversee office technology needs and equipment maintenance
Liaise with IT support for troubleshooting and technical issues
Event Planning and Coordination:
Plans and coordinates company events, meetings, and conferences in-house or off-site
Arrange travel logistics such as catering, venue booking, flight, hotel booking, and car rentals.
Health and Safety Compliance:
Ensure compliance with health and safety regulations.
Implement safety procedures and emergency response plans.
