    JOB SUMMARY:

    The Human Resources Coordinator is to provide support to the Director of Finance.  This position will be responsible for the overall office organization, recruiting, new hire experience and ensuring all applicants and team members are greeted with professionalism and friendliness.  Must be able to maintain confidentiality; plan and organize; ability to use office software applications in a computerized networked environment.  Maintain effective working relationships with employees and applicants while following and enforcing all San Antonio Museum of Art policies.

    ESSENTIAL JOB FUNCTIONS:

    The responsibilities listed below are those that represent the majority of time spent working in this position. Management may assign additional tasks related to the type of work of the position as necessary.

    PAYROLL:

    • Process biweekly payroll.
    • Process and approve timecards, assist supervisors with any missing information. Ensure timely filing of payroll to PEO.

     

    BENEFITS:

    • Assist in processing maintenance changes and terminations for employees.
    • Assist with benefit orientations to educate and inform newly eligible employees as to the insurance options available to them.
    • Assist employees with enrollments, changes and termination to their benefit programs and transitional information associated.
    • Assist Director of Finance with any aspects of OSHA and worker’s compensation as applicable.
    • Perform other duties as assigned within the scope of responsibility and requirements of the position.

     

    RECRUITMENT:

    • Assist in coordinating activities in relation to recruitment including posting of requisitions and advertising open positions, including job fairs.

    • Maintain high standards of professional etiquette.

    • Maintain Applicant Flow Log and when applicable, online applicant tracking system.

    • Assist applicants with applying for open positions as needed.

    • Assist in coordinating and conducting interviews and new hire process, including checking references, submitting background checks, scheduling orientation and training sessions.

    • Attend any required meetings or training as required by Director of Finance.

    EMPLOYEE RELATIONS/TRAINING:

    • Assists in planning and organizing employee activities; holiday party, quarterly staff meetings, health/safety fair, etc.  Acts as a liaison between employees and management as needed.
    • Process all associate new-hire and termination procedure work as it relates to the position.
    • Assist with HR legal aspects, including but not limited to proper filing and retention, etc.
    • Assemble new hire packets.
    • Order name badges and business cards.
    • Support payroll, as needed, i.e. employee information, entering and deleting employees into time clock, providing personal action forms for any changes, distribute paychecks, when necessary.

    TRAINING:

    • Facilitate new-hire orientation, customer service, safety training as needed.

    ADMINISTRATIVE:

    • Answer telephone and monitor office per museum guidelines and rules.
    • Handle outgoing and incoming mail and packages in a timely and efficient manner as needed.
    • Order supplies as needed for HR/Finance office.
    • Greet and interact with all employees and visitors in accordance with Human Resources office guidelines and principles while enriching the museum culture and mission.
