    Job Summary: As part of the Education Department at the San Antonio Museum of Art, the Education Administrative Coordinator provides administrative support across the department and facilitates School, Family, Public, and Docent programming as their availability permits. This position manages the department’s statistics and attendance database, writes contracts and processes, maintains the monthly credit card report, supports ongoing evaluation, and contributes to grant writing and reporting.

    Responsibilities:

    • Manages the statistics and attendance databases, providing timely stats, data collection and data analysis as required for grants and other reports.

    • Create complex reports and spreadsheets which may utilize specialized software and systems.

    • Works in collaboration with the Director of Education and Education Department staff to write Professional Services Agreements (PSAs) for artists, scholars, and other partners, and to file contract paperwork.

    • Completes and submits paperwork for the Education Department including work orders, Request for Purchase invoices (RFPs), the monthly credit card report, and general accounting for the department.

    • Contributes to evaluation reports and grant reports, helping to monitor ongoing grant-funded projects for compliance.

    • Supports ongoing evaluation initiatives to ensure that learning opportunities are cohesive, and visitor centered.

    • Collaborates with the Education Department to oversee implementation of film screenings, including licensing, equipment, work orders, and other program requirements.

    • Facilitates School, Family, Public, and Docent programming as their availability permits.

    • May supervise day-to-day work of student interns, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

    • Helps identify opportunities to support SAMA’s strategic plan, DEAI initiatives, and Education Department goals.

    • Works with the Director of Education and Education Department staff to establish, maintain, and strengthen strategic partnerships and to cultivate positive, professional relationships within the community.

    Qualifications:

    • High school diploma and two years of administrative experience, or combination of education and relevant experience, an interest in museums, art education, or nonprofits.

    • Must have demonstrated excellence in writing and verbal communication skills.

    • Excellent organizational skills and attention to detail.

    • Strong interpersonal skills and must enjoy interacting with the public, volunteers, and contractors, serving as an ambassador for the museum.

    • Must have excellent computer and administrative skills, statistics experience preferred.

    • Schedule may include holidays, weekends, and evening hours.

    • Bilingual in English and Spanish preferred
