    The Braille Institute is seeking an Administrative Assistant for their Santa Barbara, CA (93105) location.

    Who is Braille Institute?

    Braille Institute is a non-profit organization whose mission is to positively transform the lives of those with vision loss. We offer a broad range of free programs, classes and services serving thousands of students of all ages helping to demonstrate that vision rehabilitation is a beginning, not an end.

    We serve the community from seven centers, and hundreds of community outreach locations throughout Southern California, and lead popular national programs like Braille Challenge and Cane Quest. Our staff and volunteers understand losing your vision can be scary, but we believe it is not the end of independence but a new way of living.

    About the role:

    The Administrative Assistant is responsible for providing general administrative support to department staff and management, such as, filing, answering phones, compiling data, preparing reports and other duties.

    Essential Duties and Responsibilities:

    • Under close supervision, performs general administrative duties for assigned department.
    • Gathers, compiles and prepares reports on department information as requested by management.
    • Proofreads, prints and distributes correspondence, timelines, tables, graphs, presentations and reports using computer software.
    • Creates and maintains current and accurate files and records for the department by auditing and updating information in files and computer software.
    • Receives telephone calls for the department.
    • Obtains information from callers, and responds to inquiries, takes messages or routes calls to staff as appropriate.
    • Greets students, visitors and staff. Answers questions from visitors on department operations.
    • Orders and receives supplies for the department as requested.
    • Prepares, tracks and closes purchase orders. Monitors inventory of department supplies.
    • Assists with providing coverage for other administrative functions in the department as requested.
    • Performs other duties as assigned - as the organization continues to evolve, duties or tasks may change without impacting the overall Job Description.

    QUALIFICATIONS:

    Knowledge and Education:

    • High school diploma or equivalent is required.
    • Basic knowledge of administrative support services and standard office computer software is desirable.

    Skills and Abilities:

    • Good communication, computer and organization skills are required.
    • The ability to perform multiple tasks accurately is needed.

    Experience:

    • At least one year of administrative support work experience is desirable.
    • Work experience using standard office computer software is required.
