  • Responsibilities

    Primary Role

    Provide leadership with strategic thinking and exemplify excellent customer service. Ensure annual divisional initiatives aligned with company initiatives are completed. Perform basic accounting duties relating to accounts receivable, accounts payable, job expenses, credit card charges, and banking. Perform general office duties such as drafting correspondence and creating reports.

    Results Expected

    Customer satisfaction is maintained at a high level. Processing of accounts payable and receivables are current, with notes updated on all accounts. All files and reports are maintained and provided as required. All administrative tasks are completed as assigned.

    Financial Administration

    Maintain accurate records within QuickBooks.

    Maintain tax, insurance, and compliance requirements.

    Perform Royalty Reporting and Royalty Submission monthly. Ensure each franchise records appropriate collections monthly, with the correct Class recorded on each invoice collected for accurate Royalty Reporting.

    Accounts Receivable

    Manage Accounts Receivable: Ensure Accounts Receivable is kept current in order to improve cash flow.

    Maintain accurate records within QuickBooks.

    Enter and record payments to the correct customer account. Scan checks in the deposit reader, and email transaction report to Payables daily.

    Scan all images of checks and save in the appropriate days’ payments received folder.

    Provide PIF receipts to all customers.

    Accounts Payable

    Manage Accounts Payable: Review all accounts payables for accuracy and enter bills/charges for approved accounts payable and work orders. Mark bills as paid when they are due and provide a payables report of payment method recorded for payment to be submitted, resulting in current Accounts Payable and referral and subcontract fees entered and paid.

    Perform daily bookkeeping activities to accurately track and report business expenses, ensuring sound financial data and records.

    Maintain accurate records within QuickBooks.

    Maintain tax, insurance, and compliance requirements.

    Maintain vendor and subcontractor accounts.
