We are looking for an office administrator with at least three (3) years of experience managing project coordination and estimating. Major plus if your experience includes creating Xactimate estimated for the damage restoration industry. Our family of franchises has multiple DFW offices. This position requires you to report in Fort Worth, Texas. We are a growing company with offices in Dallas and Fort Worth. The services we offer, and those you will be estimating, are:

Excellent Customer Service Skills. It's easy to tell when our Coordinators care about really helping our clients because they thrive on finding solutions to their problems. The core of your job is serving your clients and helping them get back on their feet. Each of our Project Coordinators is assigned their own projects where they become the Point of Contact for everyone involved -- the client themselves, their insurance company, our production teams, and even subcontractors. This is a lot of responsibility, and the best Coordinators thrive and find real fulfillment and happiness doing this.
Advanced communication skills, both written and verbal. You will be on the phone and emailing different people very often. The people who succeed with us in this position are very comfortable speaking on the phone and sending professional emails with few to no grammatical mistakes (don't worry if grammar isn't your best subject. Your computer will have a grammar program installed to help you out!)
Able to Handle Emotional Clients with Professionalism and Empathy. We won't sugarcoat it--the clients you speak with will be emotional from time to time. Our best Coordinators know our clients have most likely had a disaster happen at their home or business, and they will be able to care for them professionally and with empathy. Our clients are allowed to be stressed--we aren't.
Tech-Savvy. Your workstation will have multiple screens, multiple phones, and a tablet. You'll do well if you're comfortable with tech and know how to use it.
Extremely detail-oriented. Numbers, names, dates, forms, photographs, order of events--every project you coordinate will be involved and have many details to keep track of. A person who does well with us can look for and keep track of handfuls of details to capture the full scope of a project.
A Professional Multi-Tasker. Every project has a lot of details to keep track of, and you'll have plenty of projects to keep up with. Our best Coordinators can handle more than 10 projects at a time. If you thrive on a challenge of this kind and don't stress about lots of information coming in at you from on-site technicians, production managers, adjusters, and the clients themselves, for you organize, then you'll do great with us.
Organized. If you're the type of person that have a to-do list and a calendar as widgets on your phone to help keep track of your life, then you'll probably do very well with us. The Project Coordinator is the person that has a holistic view of a client's project and they keep everyone and everything organized so our clients they are being taken care of by a professional.
Honest. This is a core value to our entire company--we are honest with our customers, insurance companies, and everyone we do business with. Our quality of work is best in class. We need someone who will upkeep our dedication to honest, professional work.
Dedicated and Reliable. We need to know that the person in this position will be there when we need them. Extreme weather and major disasters happen, and our Coordinators (and everyone else in our company) are the type that run towards the problem. You'll be asked to work during all types of weather (remotely, if we can't physically drive to the office) and events. If there is a major disaster event happening, you may be asked to work extended hours and/or weekends in order to help more people in need. Examples of major events include hurricanes, major freezes, wildfires, and other natural disasters.
Driven. Along with your salary, you will be paid a commission on every project you coordinate. Average yearly commissions are $10,000+, especially for the Coordinators who can handle multiple projects successfully. The Coordinators that do exceptionally well are driven self-starters and do not need micromanaging.

Job Responsibilities:
Process estimates using Xactimate.
Process estimates using T&M.
Be the project's Point of Contact.
Monitor and ensure different requirements for insurance companies are followed and met.
Review and validate initial field documentation. If documentation is missing, you'll make sure we obtain it.
Daily job file coordination to include monitoring status, audit and work-in-progress.
Prepare job file reports.
Complete and review job file documentation for final upload and the audit process.
Collections
Assist other departments, as needed, especially On-Call and Dispatch.
Occasionally travel to job sites to better understand the estimating needs of an especially complicated or large loss.
Be the point of contact for the customers you are assigned to. You are the person that will guide them through their loss from start to end.
Participate as an after-hours on-call manager for one week on a rotating basis. This is a mandatory responsibility.
