    As an Administrative Assistant, you must be excellent on the phone and emphatic to potential customers. You will be asked to help retain and grow customers by delivering First Class Service in a First Class Way when handling customer calls, job management and tracking, scheduling of jobs, customer satisfaction activities, basic bookkeeping, drafting correspondence, filing and creating reports.

    Key Responsibilities

    Answer phones, provide superior customer service, and maintain log of all calls

    Exceed customer expectations with fast response, follow-up, empathy, and attention to detail

    Qualify customer losses for timely and efficient delivery of restoration services

    Coordinate scheduling of all incoming jobs with Production Manager

    Manage work-in-progress board to ensure staff is updated on daily schedules and job status

    Verify all customers, referral sources, and loss data are captured accurately in databases

    Convert estimators' scope sheets into electronic estimates

    Ensure job files are accurate and contain all required and pre-existing documentation

    Ensure daily progress of jobs and pertinent job data is captured and shared as it happens

    Ensure customers receive timely invoices for services performed and process payments

    Maintain file system, company calendar, travel schedules, and office supplies

    Support marketing efforts by coordinating website maintenance, PR activities, and mailings

    Availability/After hours/On call

    SERVPRO is a 24/7 service provider. During times of heavy call volume due to storm events, we expect the candidates to be available for all intake and dispatch needs of the company

    Candidate must be able to field phone calls after 5 PM (remotely) on a rotating call schedule

    Position Requirements

    Excellent written and verbal communication skills

    Strong listening and organizational skills with the ability to multi-task

    Attention to detail and problem-solving skills

    Must be knowledgeable in Microsoft Office with intermediate to advanced proficiency in the use of computers and computer software
