Administrative Assistant (Remote / Hybrid)
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Coordinate and implement general office services such as appointment-setting for all teaching and non-teaching staff, records control, and other administrative activities. Scheduling and rescheduling as needed.
· Coordinate budget accounting operations.
Analyze unit operating practices such as record keeping systems, forms control, office layout, and personnel requirements; create new systems or revise established procedures
Interpret and communicate operating policies
Coordinate collection and preparation of financial and operations reports
Participate in interviewing job applicants and conduct orientation of new employees and new students as needed.
Facilitate the new student evaluation/inquiry process; communicating with parents and the director as needed
Collect and consolidate faculty notes on student progress and performance in order to provide to the director for review
Oversee the marketing/social media processes for the academy by posting advertisements when necessary and reaching out to relevant learning institutions
Locate and compile information; format reports, graphs, tables, records and other sources of information
Assemble and categorize facts and figures for written computation and calculations
Assist with special events planning
Operate personal computer to access e-mail, electronic calendars, and other basic office support software
Use various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
Exercise administrative judgment and assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
Handle incoming and outgoing phone and electronic communications on behalf of executive management and route incoming calls to appropriate party quickly and efficiently
Independently create well-organized, grammatically correct memos and reports for distribution to members of various departments
Use various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reports
Maintain highest level of confidentiality
Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
Perform other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
High school diploma or GED (Two years college or equivalent work experience preferred)
1-2 years of related experience or relevant coursework
Ability to exchange non-routine information using tact and persuasion as appropriate
Working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
Excellent interpersonal, oral, and written communication skills
Excellent writing, proofreading, and editing skills
