    SILLMAN is looking for a proactive and enthusiastic Project Administrative Assistant to join our team!

    SILLMAN is an award-winning architectural design firm. Founded in 1976, SILLMAN offers Planning, Architecture, Interior Design and Sustainable Design Services to diverse clients. SILLMAN is a medium sized firm (41 people) that is growing. We have a great group of designers and architects who work well together and are committed to creating innovative quality architecture that is efficient, sustainable and reflects the values of the community and our clients.

    We have offices in Mission Valley and Temecula. We offer a hybrid work model, allowing staff to work mostly from home.

    SUMMARY

    Primary responsibilities are to assist with the administration of architectural projects in the design, permitting, and construction administration phases. Knowledge of architecture and/or construction are helpful, but not required. Specific responsibilities include correspondence with project team members, typing meeting minutes, developing and maintaining project logs, distribution of project documents, assisting with consultant contracts, and other tasks as needed.

     

    MINIMUM REQUIREMENTS

    Education:    High School Diploma or equivalent

    Experience:  Minimum two (2) years general and administrative office experience.

                       

    JOB SPECIFIC QUALIFICATIONS

    • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook. Project Management software experience a plus
    • Detail-oriented with the ability to manage multiple projects with varying deadlines
    • Excellent organizational skills and ability to establish priorities, objectives and deadlines, with minimal supervision
    • Excellent communication and interpersonal skills (both written and verbal)
    • Consistently displays exemplary work ethic, confidentiality, and integrity
    • Demonstrates flexibility in responding to work demands
    • Works well with others
    • Professional attitude and appearance

     JOB RESPONSIBILITIES

    • Provide administrative support to all staff members
    • Assist with all aspects of construction administration, including maintaining project logs and coordinating with consultants
    • Create/type meeting minutes
    • Generate consultant contracts
    • Assist with creation of material boards
    • Create construction related exhibits
    • Consult with reps to obtain material samples and specs
    • Coordinate with consultants
    • Type/Coordinate Specifications
    • Assist with compiling schedules (i.e., finish, doors, windows, etc.)
    • Various other projects as assigned
