    Job Description

    SIMEDHealth is currently looking for a Full-Time Administrative Assistant for our Finance division.

    The Finance Administrative Assistant (FAA) is responsible for entering purchase orders, maintaining the organization of purchases made and providing backup assistance to the Finance Department. Additionally, the FAA is responsible for entering a variety of data into Excel and a variety of software programs in accordance with the Finance Department’s goals and objectives.

    Qualified Candidates will have:

    • High school diploma or equivalency REQUIRED
    • Experience may substitute education
    • Basic Excel and Word skills REQUIRED
    • 1-2 years of data entry is PREFERRED
    • Outlook e-mail experience REQUIRED
    • Experience with paper & digital filing REQUIRED

    The following is a list of duties and responsibilities for the Finance Administrative Assistant:

    DOCUMENT MANAGEMENT:

    • Printing and/or filing of faxes (and requested e-mail attachments)
    • Opening, sorting, distribution of all incoming mail and internal documentation
    • Scanning and filing (digital and paper) of documents as assigned
    • Print/PDF and file/distribute monthly bank and other statements

    COURIER:

    • Pick up daily activity from 4343 building (including emptying of safe and delivering money to A/R department staff – maintaining proper chain of custody)
    • Pick up mail from PO Box daily & make any bank deposits as needed
    • Purchasing (POs, approvals, invoicing, payment):
    • Purchasing - Manage PO collection, approval, and distribution on Tues & Wed (or as needed)
    • Respond to all internal and external inquires related to POs
    • Match incoming invoices to POs and give to Accounts Payable (or other staff if needed)
    • Maintain log and follow up on outstanding POs (minimum of monthly)

    OTHER:

    • Daily Close Reconciliation, Printing Patient Refunds & assisting with Month End reporting
    • Enter details of Patient Billing and Pharmacy daily reports into CenterPoint Accounting
    • Process RDP (remote deposits)
    • Print patient Refund checks and assist in reconciling the refund account
    • Researching and filing for unclaimed property from state website
    • Weekly inventory/ordering of Finance Department’s office supplies
    • Assists CFO, Finance Manager, and Finance Assistants with filing and other administrative duties
